Requirements
  • Experience in a coordination, administrative, or operations support role; experience in the game industry, entertainment field, or another creative production environment is a plus.
  • Comfort with administrative and procurement processes, including purchase orders, invoices, approval chains, and working with various stakeholders.
  • Hands-on working knowledge of Jira, Confluence, SharePoint, and calendar or scheduling tools.
  • Ability to build and maintain organized systems and identify missing information before it becomes a problem.
  • Strong problem-solving skills and initiative to identify and advance needed work without waiting to be asked.
  • Clear and tactful written and spoken communication, with the ability to follow up persistently without friction.
  • Reliability when handling confidential information, including contracts and talent agreements.
  • Fluency in English, both written and spoken.
  • Motivation to make other people effective and comfort working in a support role.
Responsibilities
  • Prepare, submit, and follow up on purchase orders and invoices from vendor onboarding through completion.
  • Manage approval workflows and track each request until it clears.
  • Liaise with Legal, Finance, Procurement, and other stakeholders regarding audio contracts, nondisclosure agreements, talent agreements, and licensing paperwork.
  • Maintain departmental administrative best practices, including clear templates, consistent naming, documented processes, and reliable record keeping.
  • Maintain the department’s knowledge spaces so information is current, structured, and easy to find.
  • Maintain Jira boards, fields, labels, and statuses so reporting remains reliable; do not create or assign team tasks.
  • Keep the department roadmap up to date, including deadlines, milestones, and schedule changes.
  • Archive obsolete information and flag missing information to prevent the use of outdated documentation.
  • Provide day-to-day administrative and organizational support to the Creative Audio Directors.
  • Gather and consolidate information about games, including build versions, schedules, contacts, asset requirements, and project specifics, in one reliable location.
  • Coordinate meetings, agendas, and follow-ups; capture decisions and action items and record them where they can be found.
  • Serve as the first point of contact for routine audio requests from project teams, route requests to the appropriate person, and track them through closure.
  • Support onboarding for new team members and external collaborators by providing appropriate access, documents, and context.
Desired Qualifications
  • Familiarity with game development pipelines and how audio is integrated into them.
  • Basic understanding of audio production terminology and deliverables; sound design experience is not required.
  • Experience supporting teams distributed across multiple studios, regions, and time zones.
