Payroll Administrative Assistant

Working alongside the amazing team at The Quail, we are seeking a Payroll Administrative Assistant to support our Accounting and HR departments.

Key Accountabilities

• Collect and verify employee timesheets, calculate wages, deductions, and overtime, and prepare paychecks or direct deposits on a bi-weekly basis.
• Maintain and update employee payroll records, including new hires, terminations, pay rate changes, and leave balances.
• Ensure payroll operations comply with federal, state, and local labor laws, tax regulations, and company policies.
• Assist in preparing payroll reports, income statements, and supporting documentation for audits.
• Respond to payroll-related inquiries, resolve discrepancies, and provide guidance on deductions, benefits, and pay issues.
• Enter payroll data into software systems, troubleshoot issues, and assist in implementing or updating payroll software.
• Work closely with HR and finance teams to ensure accurate employee information and smooth payroll operations.

General Requirements

• High school diploma required; associate or bachelor’s degree in accounting, finance, or related field preferred
• Prior experience in payroll, accounting, or administrative support is highly desirable.
• Strong numerical aptitude and accuracy in data entry to prevent payroll errors.
• Proficiency in Microsoft Office, Payroll systems and database software.
• Effective written and verbal communication skills for interacting with employees and management.

Salary: $25.00 – $27.00 per hour
