Requirements
  • Bachelor’s degree or 4-5 years of equivalent practical experience.
  • 2+ years of administrative experience supporting senior-level executives.
  • Minimum 4-5 years of experience working in development or other related field within the non-profit sector - or equivalent combination of education and experience.
  • Proficient in Microsoft Suite and products, including Outlook, Teams, Word, Excel, PowerPoint, Planner, Forms, OneDrive, and SharePoint.
Responsibilities
  • Support the VP in all aspects of meeting preparation, ensuring they are informed, organized, and on time for internal meetings and external donor engagements.
  • Manage complex calendars and scheduling across Outlook, Teams, and other Microsoft products, balancing competing priorities with discretion and efficiency.
  • Plan and coordinate meetings with cross-functional teams and stakeholders while ensuring confidentiality and timely communication.
  • Create and prepare meeting materials such as agendas, briefing documents, and presentations including PowerPoint decks for meetings.
  • Perform a range of administrative duties including timely data entry of fundraiser contact reports into Raiser’s Edge, gift processing support of acknowledgement letters and gift transmittal forms for accurate allocation of philanthropic funds.
  • Reconcile the Major Gifts team card for monthly processing within budget.
  • Prepare for donor meetings including logistics, catering, parking and “know before you go” donor confirmation details and day of in-person support as needed.
  • Support production of briefings for faculty members, leadership, and donors related to events and speaking engagements.
  • Assist with scheduling faculty calls for donor visit preparation, Science Under the Stars event support, and foundation board Big Science Task Force.
  • Proactively manage qualification outreach for the Vice President suggesting engagement opportunities/next steps and participating in strategy development.
  • Complete cross-functional list reviews for the Vice President’s portfolio to manage appropriate levels of donor outreach.
Desired Qualifications
  • Experience in project management in a complex environment, preferably in healthcare or higher education.
  • Familiarity with or an eagerness to learn communication/publication software and content sharing platforms such as Adobe Acrobat Sign, Qwilr, InDesign, and Merlin.
  • Experience complying with HIPAA regulations.
  • Genuine interest in improving health and well-being for kids and families.
