Requirements
  • A high school diploma or equivalent and two years of relevant experience, or an equivalent combination of education and experience, are required.
  • Medical terminology, surgical or appointment scheduling software, and electronic medical records experience are preferred.
  • Demonstrated customer relations skills are required.
Responsibilities
  • Oversee referral data and ensure compliance with enterprise standards and referral and prior authorization guidelines.
  • Communicate with patients, families, clinical staff, and non-clinical staff to identify appointment-compliance and insurance barriers and track assistance provided.
  • Plan, execute, appeal, and follow through on referral and prior authorization processes affecting patient scheduling, treatment, care, and follow-up.
  • Manage department referrals and serve as liaison, appointment coordinator, and patient advocate among referring offices, specialists, and patients.
  • Conduct data analyses, monitor work queues, reconcile discrepancies, and communicate with referring and referred departments.
  • Prioritize referral requests using medical protocols and expedite urgent requests.
  • Coordinate team and patient meetings and participate as an active member of the care team.
  • Acquire insurance authorization, attach referral records to visits, and document referral and authorization communications in the electronic health record.
  • Perform needs assessments using the electronic medical record, schedule appropriate appointments and procedures, verify patient demographics and insurance information, and follow record-verification protocols.
  • Perform complex appointment scheduling, link referrals and ancillary services, and provide patients with appointment, provider, direction, and educational information.
  • Report patient-compliance data and scheduling obstacles to the team and manager and recommend strategies to improve compliance.
  • Ensure ancillary testing and specialty referrals are completed and results are received and acted upon; investigate, troubleshoot, and resolve missing information.
  • Prepare complex information for insurance or workers’ compensation carriers to obtain prior authorizations for imaging, non-invasive procedures, sleep studies, and other services.
  • Communicate medical information to insurers and coordinate peer-to-peer reviews for denied services.
  • Apply medical terminology, International Classification of Diseases codes, Current Procedural Terminology codes, insurance policies, prior authorization experience, and specialty knowledge to prepare authorization requests.
  • Resolve insurance obstacles and determine additional information required after denied authorization requests.
  • Collaborate with providers to draft and finalize letters of medical necessity.
  • Track renewals and approvals to ensure authorization is obtained before patient arrival.
  • Manage orders for patients seen in the emergency department or urgent care, recognize urgent clinical situations, and coordinate appropriate care.
  • Review complex referral requests, evaluate them, and schedule patients with the appropriate provider.
  • Work with providers and clinical staff to establish the best care plan for patients.
  • Process outgoing referrals, discuss outside-care options, and ensure Meaningful Use requirements are met.
  • Transfer summaries of care electronically through Epic or send them by facsimile or mail when electronic transfer is unavailable.
  • Process external incoming referrals, enter them into the electronic health record, coordinate ancillary testing, and obtain outside records.
  • Perform other assigned duties.
