Requirements
  • A high school diploma or GED is required.
  • At least 6 years of management experience in a professional services or law firm environment is preferred.
  • Knowledge of basic accounting principles, including budget management, is required.
  • The role requires knowledge of basic local and national labor laws, human resources practices, and legal requirements.
  • The role requires knowledge of basic accounting and budgeting principles, including the ability to track, organize, analyze, and clearly report financial data.
  • Advanced knowledge of the Microsoft Office Suite is required for preparing business communications.

Responsibilities
  • Direct, manage, and oversee the office's daily administrative business functions.
  • Represent and support firm decisions and initiatives while managing through change.
  • Plan and facilitate office core management team meetings to support operational excellence.
  • Manage, advise, and mentor direct reports, including compensation planning, performance evaluations, and onboarding.
  • Hold individual meetings with each direct report for at least 30 minutes every month.
  • Report and communicate with the Director of Administration, relaying information and escalating office needs, employee relations, and other issues in a timely manner.
  • Influence across departments and senior staff.
  • Interact regularly with office lawyers to ensure strong practice support and proactively identify and address needs, sharing feedback across departments for continuous improvement.
  • Manage, facilitate, and support lateral integration to coordinate firm resources for successful practice integration.
  • Plan, attend, and prepare agendas and materials for partner meetings, presenting on business and financial matters as needed.
  • Partner with talent acquisition, practice groups, and local office partners on lateral recruiting efforts and initiatives and the onboarding of new associates.
  • Collaborate with the Office Managing Partner and marketing and business development teams on the office marketing budget and client-facing and business development opportunities, including managing contracts for strategic use of sports tickets to maximize return on investment.
  • Partner with departments on office events and initiatives to maximize engagement and build and maintain a positive office culture.
  • Improve the firm's brand recognition in the community through civic involvement, local networking, and collaboration with the firm's Alumni team.
  • Partner with Real Estate leadership and Operations on space planning, including refurbishing projects, moves, subleasing, space layout, plan review, construction requests for proposals, construction management, and external use of office space.
  • Participate in firmwide initiatives with department leadership and senior management.
  • Serve as a key partner to the Director of Administration in strategic functional areas such as attorney and business professional relationship management, process improvement and technology, communications and leadership liaison work, and talent management.
  • Manage complex workflows with broader organizational impact.
  • Support and drive billing and collections efforts to optimize cash conversion and meet office goals.
  • Work with Practice Group Directors to partner with lawyers and implement best practices in fiscal management.
  • Prepare, analyze, and maintain accurate office administration and related office budgets for all areas of responsibility.
  • Effectively communicate with clients, lawyers, business professionals, and third parties.
  • Produce deliverables, answer phone calls, and reply to correspondence efficiently and responsively.
  • Provide timely, accurate, and quality work product.
  • Meet deadlines and expectations and perform required work duties.
  • Foster positive work relationships.
  • Comply with firm policies and practices.
  • Perform other assigned duties, tasks, or projects.
Desired Qualifications
  • A bachelor's degree in Business Administration, Finance, or a related field is preferred.
  • Experience with facilities management, including design, construction, contract negotiations, and project management, is a plus.
  • The ability to assume a leadership role and make decisions while fostering teamwork is desired.
  • The ability to adapt to changing priorities, maintain a productive and committed work effort, meet deadlines, and manage workload is desired.
  • The ability to communicate clearly and professionally, orally and in writing, is desired.
  • The ability to provide quality client service to internal and external contacts on complex administrative matters is desired.
