Requirements
  • A high school diploma or GED is required.
  • 0–1 years of related work experience is required.
  • Experience with computer systems, including web-based applications and some Microsoft Office applications such as Outlook, Word, Excel, PowerPoint, or Access, is required.
  • The employee must be able to maintain close attention to tasks and use judgment to respond to events several times a week.
  • The employee must be able to perform sedentary work, occasionally exerting up to 10 pounds of force while carrying, lifting, pushing, or pulling objects.
  • The employee must be able to remain seated most of the time, with occasional walking and standing, constant keyboard use, endurance for working up to 3–4 hours without a break, frequent one-handed power grasping, and occasional one-handed fine manipulation.
  • Staff must be vaccinated against influenza as a condition of employment.
Responsibilities
  • Provide administrative support for the department while interacting extensively with the public, visitors, patients, families, and providers.
  • Answer and screen telephone calls, take accurate messages, direct calls to the appropriate person, greet and direct patients, families, visitors, and staff, and respond to requests with clear and accurate information within the scope of knowledge and authority.
  • Type and prepare correspondence and documents, proofread and edit materials for grammar, punctuation, and spelling, draft routine correspondence, and compile and distribute reports and other information.
  • Schedule appointments and meetings, maintain calendars and schedules for assigned staff, and assist with conferences, seminars, and department-sponsored programs or events.
  • Receive, record, and prepare related materials and perform other assigned administrative duties.
  • Provide positive and effective customer service supporting department and medical center operations.
  • Prepare, route, and track routine administrative forms and documents; route materials for authorization; and monitor receipt by the final destination.
  • Communicate with other hospital departments to resolve delays, problems, and errors.
  • Perform routine clerical duties including opening and sorting mail, delivering and retrieving records and materials, photocopying, sorting, collating, and distributing documents.
  • Organize and maintain department files, records, and databases according to established procedures.
  • Enter information from source documents into databases and spreadsheets.
  • Update patient demographic and insurance information as necessary and obtain specialist referrals for patient appointments.
  • Schedule patient appointments using scheduling tools and resources.
  • Coordinate and communicate ancillary appointments and procedures with other hospital staff.
  • Obtain patient information and materials from referral sources.
  • Prepare patient records for clinical activities and maintain patient records for physicians.
  • Act as a liaison with other departments and external customers in a calm and supportive manner.
  • Handle confidential information appropriately and explain policies and procedures when necessary.
  • Assist and support licensed practitioners by queuing prescriptions for renewal.

Beth Israel Lahey Health rolls out Heidi's AI scribing to all physicians after 90% report better patient presence

Beth Israel Lahey Health is rolling out Heidi's ambient AI scribing tool to all its physicians following a successful trial across its facilities. The health system, which serves over 6,000 providers across 14 hospitals and 175 primary care practices, prioritises addressing physician burnout, with nearly half of US physicians reporting burnout. During a six-month trial offering Heidi to 1,000 providers, the majority adopted the technology. Survey results showed 89% were satisfied with note quality, 90% felt more present with patients, 74% reduced after-hours work time, and 82% experienced reduced cognitive load during visits. The implementation demonstrates how ambient AI can deliver immediate relief to physicians whilst benefiting patients and the healthcare system. Heidi supports over 2 million consultations weekly globally and has raised $96.6 million from investors including Point72 Private Investments and Blackbird.
