Requirements
  • The successful applicant must pass a required background check through a BCI name check in accordance with current County Human Resource policy requirements.
  • Proficiency with the general operation of computers is required.
  • Good typing skills and attention to detail are required.
  • The ability to communicate clearly and effectively both on the phone and through email is required.

Responsibilities
  • Assist the Reservations Coordinator with coordinating group reservations.
  • Help bring groups to the Clark Planetarium Dome theatre, IMAX theatre, Science on a Sphere exhibit, and summer programs.
  • Answer phone calls and check voicemail messages to receive reservation information and communicate information to teachers and group leaders.
  • Organize and respond to emails, including answering questions and inquiries.
  • Input reservation information into the Galaxy System, including verifying school and teacher information, inputting orders, building confirmation sheets, collecting sales tax exemption forms, and emailing confirmation sheets to groups.
  • Initiate contact with schools by phone and email to schedule outreach programs.
  • Help determine areas where systems and processes could operate more efficiently.
  • Assist with receiving visiting school groups during the school year, including being available during specific hours when needed.
  • Perform duties during the June-August slow season to prepare for the upcoming school year or improve the reservations process and experience.
  • Provide general administrative support for the Clark Planetarium and assist with summer programs.
