Requirements
  • Previous administrative work experience in an office setting is welcomed.
  • Experience using Microsoft applications including Outlook and Excel is preferred.
  • Experience using office equipment including a fax/copy machine, printer, folding machine, and postage machine is welcomed.
  • Willingness and ability to learn company-specific computer databases and various vendor databases.
  • Clear verbal and written communication skills, proper grammar, and telephone etiquette are required.
  • Ability to understand simple instructions, short correspondence, and memos.
  • Ability to carry out written, oral, or diagram-based instructions.
  • Experience composing simple correspondence.
  • Customer service skills with attention to detail and accuracy.
  • Ability to organize work independently and prioritize tasks.
  • Ability to work in a fast-paced environment and adapt positively to changes.
  • Reliability, responsibility, and ability to maintain confidentiality.

  • High school diploma or equivalent, such as a GED, is required.
Responsibilities
  • Accept payments from walk-in consumers and apply them to accounts.
  • Answer incoming phone calls and transfer them to appropriate departments.
  • Process mail returns.
  • Open and route inbound mail in the mail room.
  • Print and mail outgoing letters to consumers.
  • Create and print itemized statements daily and run reports to track requests for timely completion.
  • Search for and file probate records.
  • Receive consumer and attorney correspondence and scan it into the system.
  • Complete inventory of office supplies.
  • Maintain a personal vehicle for driving to the local post office, bank for deposits, and client locations, with compensation according to company policy.
  • Cross-train on all department duties to provide backup as needed.
  • Perform assigned duties according to key performance indicators.
  • Follow legal and other compliance requirements and prevent Protected Health Information breaches.
  • Maintain accuracy in payment recording, receipt issuance, debtor-account updates, cash counting, documentation, deposits, and audit records.
  • Address customer concerns professionally and communicate effectively.
  • Adhere to financial regulations, company policies, and industry standards.
