Requirements
  • A BA/BS and two years of related experience in the same job family, book publishing, or a related enterprise, or an equivalent combination of education and experience.
  • Demonstrated ability to edit and proofread, knowledge of grammar, and advanced reading comprehension.
  • Facility with Microsoft Windows, Microsoft Word, Microsoft Excel, and Adobe Acrobat, including advanced features such as Track Changes, Word Styles, and Acrobat markup tools.
  • Meticulous attention to detail.
  • Ability to multitask, prioritize effectively, work under pressure, handle details with minimal supervision, and perform organizational and administrative tasks such as digital file management and expense processing.
  • Excellent communication skills and a cooperative, collegial working style.
Responsibilities
  • Prepare manuscripts for editing by applying the Yale University Press template, Microsoft Word Styles, and other file-preparation functions.
  • Act as production editor for reprints, paperback conversions, backlist reissues, and co-publications.
  • Edit cover and jacket copy, catalogue copy, prefaces, forewords, and other copy, making stylistic, factual, and grammatical corrections and consulting authors or acquisitions editors when necessary.
  • Proofread cover and jacket mechanicals and proofs, as well as typeset prefaces, forewords, and other editorial components.
  • Perform preliminary checks of illustrations, captions, permissions, alt text, and art logs for books entering editorial production.
  • Provide administrative and editorial assistance for the Manuscript Editorial Department.
  • Work with Acquisitions, Production, Design, and Promotions departments.
  • Pack and ship books occasionally.
  • Make stylistic, structural, factual, and grammatical corrections.
  • Write copy for publication and distribution and compose substantive correspondence and other written materials.
  • Maintain contact with authors, printers, faculty, staff, and others associated with publishing work, and confer with authors about content, form, and style.
  • Recommend revisions to manuscripts and illustrations, perform layout work, track copy through editing and production stages, coordinate production schedules, and ensure printing deadlines are met.
  • Prepare manuscripts for electronic editing and convert and code text files.
  • Oversee preparation of materials for the budget.
  • Monitor expenditures and reconcile financial statements.
  • Format and maintain spreadsheets, databases, and internal reports; determine data sources.
  • Compile, synthesize, and manipulate data; summarize findings and write reports or portions of reports.
  • Format, keyboard, proofread, and edit correspondence, press releases, copy, manuscripts, reports, and other materials.
  • Assemble attachments and related materials and review outgoing material for completeness, dates, and signatures.
  • Determine administrative, facility, and equipment needs for conferences and demonstrations and arrange the necessary items.
  • Perform clerical office functions, including greeting visitors, answering and screening phone calls, responding to information requests, screening and responding to mail, coordinating travel arrangements, scheduling and coordinating meetings and appointments, and ordering and maintaining supply inventories.
  • Oversee, instruct, and coordinate the activities of support staff.
Desired Qualifications
  • Editorial experience, including familiarity with The Chicago Manual of Style and proofreader's marks.
  • Advanced Microsoft Word skills, especially Track Changes and Styles, and Adobe Acrobat markup tools.
  • Familiarity with book publishing and book composition.
  • Experience with CSS, XML tagging, HTML, Adobe InDesign, Adobe InCopy, computer programming, or macro writing.
  • Foreign-language ability.
