About the job

We’re hiring a Reception & Workplace Coordinator to support office and facilities operations of HelloFresh UK HQ, the FreshFarm at 60 Worship Street in London. In this role, you will be the ultimate HelloFresh ambassador; welcoming guests, staff, tenants and couriers to our building at reception. You will be joining the Workplace & Culture team and will report to the Workplace Manager. 

As a Reception & Workplace Coordinator you will be the first point of contact, welcoming people to the building and ensuring that our space is safe and secure. You will have the opportunity to build relationships at the FreshFarm and improve our workplace experience, creating an environment where people can bring their authentic selves to work. 

What You Will Be Doing:

• You’ll be representing HelloFresh at the front desk from 8am - 5pm (Mon - Fri). You must be the ultimate host and ambassador for the building, responsible for creating a welcoming environment for all.
• Be security conscious - ensure that everyone follows our access control policy to keep our building safe and secure.
• Post management - sort and distribute deliveries for HelloFresh and tenants. Ensuring food deliveries are stored correctly and packages are collected. 
• Make sure we’re stocked-up on all the essentials  - ordering and replenishing food & beverage, stationery and toiletries. Bring new ideas to the table to enhance our Workplace offering. 
• First point of contact for Workplace issues - respond and resolve queries via the Workplace ticketing system in an efficient and timely manner.
• Carry out daily office walks - ensure the office is set up for the day, proactively report or remediate any safety hazards and escalate to the Workplace Manager or onsite contractors as needed.
• Collaborate with vendors and service providers to ensure the smooth operation of facilities-related services, such as cleaning, maintenance, and security.
• Set up weekly “Thursday Drinks” and support with workplace related events.

Who You Are:

• You’re a people person, who sees the value of exceptional customer service and how it can truly affect someone’s day!
• The ability to offer strong customer service  - preferably in office coordination or a reception based role.
• You have excellent communication skills - confident in giving instruction and direction to others.
• A self-starter with impeccable eye for detail - we want you to fix things within your control with minimal supervision.
• You are committed to fostering a clean and inviting workplace, proactively identifying areas for improvement, and taking pride in the environment you create. 
• You have a can-do attitude and are always looking for opportunities to help people and get stuck in!
• Familiar with Jira, GSuite, Canva or be comfortable with learning new software.

Location: The HelloFresh Farm, 60 Worship Street, EC2A 2EZ, London

Work Schedule: This role is office based (Monday - Friday 9am-6pm).
