Requirements
- 5+ years of corporate event experience (internal or external)
- Highly organized self-starter who can think strategically
- Experience negotiating and building partnerships with outside vendors
- Strong project, expense, and time management skills
- Consistent ability to work under pressure and manage multiple projects while keeping priorities in order
- Proven track record collaborating effectively with all levels of people across a company / around the world
- Excellent written and verbal communication skills
- Ability to maintain an optimistic and self-starter attitude
- Detailed-oriented, well organized, energetic and results driven
- Comfortable dealing with ambiguity, shifting priorities and the occasional abrupt change
- May be required to move materials weighing up to 15 pounds
- Capacity and willingness to invest longer hours (during peak event seasons)
Responsibilities
- Oversee and assist in the execution (pre, during and post) of award-worthy events (25 - 15,000+ attendees)
- Support all phases of design, planning and execution of live, virtual and hybrid programs
- Create key timelines and support project scopes, including goal setting, timelines, and quality assurance
- Responsibilities include, but not limited to: Décor, housing, A/V, room sets, f&b, giveaways, signage, etc
- Proactively develop specific recommendations on how to drive audience engagement and conversion
- Get excited by creating never been done / seen experiential activations + surprise and delight moments
- Research, evaluate, onboard, and manage external agencies and freelancers
- Monitor event spend, including the creation of purchase orders, invoicing, and payment management
- In charge of Vimeo core staff logistics and task assignments
- Build strong working relationships across the organization to move projects forward quickly & effectively
- Identify and document project risks and dependencies, establish mitigation plans and escalate when necessary
- Create pre-event briefs, ABC Guides, and post event recap reports
- Data entry: Take meeting notes and track initiatives across the team
- Analyze and evaluate the effectiveness of event tactics and apply learnings to future events
- Maintain knowledge of industry trends and best practices to continually up level event experiences
- Manage annual events calendar
- Run efficient, effective, and well-organized meetings
- 10% - 15% travel required to assist with the on-site execution and breakdown of events
- Assume additional responsibilities as necessary for the continued growth of the team
- Become a Vimeo product specialist through our platform
- Support the product to improve features and build the future roadmap through thoughtful feedback
- Grow to become a subject matter expert in event design & operations
- Work with product marketing & enablement to educate employees on the challenges event organizers face
