Requirements

Responsibilities
  • Assists the department in managing expectations surrounding pre and post patient care.
  • Obtains or reviews all patient demographic information, insurance information and referral numbers.
  • Reviews clinical records for completeness including authorization, signatures, missing data and other patient information.
  • Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
  • Works closely with the Department of Neurology’s clinical staff and administrative assistants to resolve issues that arise during daily clinical operations.
  • Performs all secretarial and receptionist duties needed for efficient patient management, including uploading patient records and other care-related documents.
  • Uses the standard greeting and professional telephone etiquette when answering all incoming calls, ensuring compliance with departmental service standards for timely and accessible phone communication.
  • Assists patients in a manner that reflects courtesy, efficiency, and genuine concern for their healthcare needs, while treating all patients with dignity and professionalism.
  • Answers calls within five rings, using the approved practice introduction and AIDET etiquette.
  • Processes all patient information accurately and routes requests to the correct division in-basket or UChart recipient.
  • Addresses patient scheduling requests, answers questions, and resolves concerns when possible; transfers calls to appropriate staff or departments as needed.
  • Verifies patient demographics, insurance details, and referral numbers during calls.
  • Records data accurately and maintains files for new patient appointments in BOX.
  • Distributes incoming faxes and mail; scans external medical records into UChart for upcoming visits.
  • Obtains necessary materials for visits, including medical records and imaging when requested.
  • Responds to medical records inquiries in person, by fax, telephone, or the general medical records email.
  • Monitors physician schedules to maximize time and manage patient capacity.
  • Tracks access to new appointments and manages waiting lists.
  • Communicates with patients regarding any delays in the schedule.
  • Uploads external MRI, MRA, MRV, and CT images to RIS-PACS.
  • Manages the UChart in-basket for the assigned division.
  • Greets visitors and callers, handles inquiries, and directs them to the appropriate staff.
