Office Administrator

Overview:

The Office Manager must take ownership of all aspects of office administration and operations, to ensure the smooth running of our office environment, supporting the team and directors while managing facilities, administration, and organizational tasks.

Key Responsibilities:

Office Management and Administration:

• Oversee the day-to-day operations of the office to ensure a professional and efficient working environment. 

• Manage office facilities, including alarms, telephone contracts, and building maintenance. 

• Maintain and organize office supplies, kitchen, meeting rooms, and common areas. 

• Coordinate schedules, prepare agendas, and manage diary bookings for directors. 

• Handle correspondence, mail, and deliveries, ensuring timely communication and distribution.

• Organize social events and manage budgets 

Facilities and Vendor Management:

• Liaise with vendors and service providers to manage office-related contracts and agreements (e.g., estate management, utilities, cleaning, IT support). 

• Organize repairs and maintenance as needed, ensuring minimal disruption to business operations. 

• Manage & maintain all health & safety and safety legal requirements  

• Maintain records of office expenses and work closely with the finance team to manage budgets. 

Employee Support and Engagement:

• Serve as the primary point of contact for employees’ office-related inquiries and needs. 

• Assist in implementing and maintaining office policies and procedures to foster a positive and productive work culture. 

Requirements:

• Strong organizational and multitasking skills, with the ability to prioritize effectively in a fast-paced environment. 

• Excellent communication skills, both written and verbal, with a professional demeanor. 

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office management tools. 

• Problem-solving mindset with a proactive and adaptable approach to challenges. 

• Proven experience in office management, administration, or a similar role. 

• Attention to detail and a high level of accuracy in handling tasks. 

Desirable:

• Experience in facilities management or vendor coordination. 

• Knowledge of office health and safety regulations. 

• Familiarity with diary management and supporting senior executives.

Please note, it is an onsite opportunity, working hours:

- Monday to Thursday: 9am-5pm

- Friday: 8:30am - 3:30pm
