Role Description

We’re looking for someone who enjoys being at the center of things—keeping the office running smoothly, enabling leaders to focus on what matters most, and creating a workplace where people feel engaged and supported.

This role blends office management, executive support, and employee engagement, making it ideal for someone who is organized, proactive, and people-oriented.

This is a full-time, work-from-office role, and requires flexibility in working hours based on business and leadership needs.

KEY RESPONSIBILITIES

1.Executive Support (Primary Focus)

• Provide end-to-end support to senior leadership (calendar, meetings, travel, priorities)
• Manage complex scheduling across stakeholders and time zones
• Prepare agendas, track action items, and ensure follow-ups
• Handle confidential information with discretion and professionalism

 

2. Office Operations & Administration

• Ensure smooth day-to-day office operations in a hybrid (WFO) setup
• Manage vendors (facilities, housekeeping, IT, supplies, etc.)
• Oversee office budgets, procurement, and inventory
• Coordinate with internal teams for infrastructure and workplace needs
• Maintain a safe, well-functioning, and welcoming office environment

 

3. Employee Experience & Engagement

• Plan and execute office engagement initiatives (events, celebrations, team activities)
• Drive in-office experience to make WFO meaningful and enjoyable
• Support onboarding experience for new hires
• Partner with HR to create a positive workplace culture

 

4. Coordination & Stakeholder Management

• Act as a bridge between leadership, teams, and external stakeholders
• Support cross-functional coordination for key initiatives
• Ensure smooth communication and execution across teams

SKILLS & QUALIFICATIONS

• Bachelor's degree
• 4-7 years of experience in Office Management / Executive Assistant / Workplace Operations
• Strong organizational and multitasking skills
• High level of ownership and attention to detail
• Excellent communication and stakeholder management skills
• Ability to handle ambiguity and work in a fast-paced environment
• Comfortable working from office and managing on-ground operations
