Requirements
  • Completion of a high school diploma plus a formal post-secondary or college certificate program, specialized courses, or certification; an alternative combination of education and experience may be considered.
  • Two years of prior related experience in the accounting or finance field.
  • Willingness to develop an understanding of and support for The Salvation Army's mission and purpose in Canada as they relate to the position's responsibilities.
  • Work in compliance with the Occupational Health and Safety Act and Regulations and The Salvation Army's health and safety policies and procedures.

Responsibilities
  • Prepare and reconcile daily transaction registers to incoming cash reports and deposit slips as required.
  • Respond to more complex vendor inquiries.
  • Collaborate on the preparation of the monthly financial report.
  • Collaborate on a monthly review of the detailed ledger and financial reports, ensuring related expenses are coded properly.
  • Handle cash and cheque procedures and confirm the completeness and accuracy of transactions.
  • Reconcile and update payment information, complete and distribute deposit summaries, process donations, and issue official donation receipts as assigned.
  • Maintain program or department purchase order tracking spreadsheets, match invoices to purchase orders, and obtain appropriate invoice and reimbursement authorizations before further processing as assigned.
  • Manage petty cash funds, gift cards, bus tickets, and vouchers and track and maintain all records as assigned.
  • Record cash receipts in proper general ledger accounts, including accounts receivable and loans sub-ledgers and other required schedules.
  • Record donations received via internet donations and other revenue collection processes and complete required reconciliations.
  • Record accounts payable based on invoices and other approved documents and distribute expenses to the general ledger.
  • Enter account coding and ensure tax rebates are claimed appropriately.
  • Establish invoices as accruals or prepaids in line with accepted policy.
  • Ensure disbursements have adequate supporting documentation, comply with official policy, and are properly approved.
  • Prepare accruals as required.
  • Maintain and reconcile accounts receivable and accounts payable sub-ledgers.
  • Initiate all transactions by the due date.
  • Ensure transactions are reflected in the proper accounting period.
  • Prepare, code, and process invoices in Business World accounting system with reviewer status.
  • Process and enter personal and corporate Visa travel and expense claims, Voucher Request Forms, and Internal Payment Forms or Requests to Charge.
  • Interact with employees and MUs to clarify information and ensure entries are submitted accurately.
  • Interact with MU leaders to provide support as requested.
  • Interact with union leaders and members to clarify information.
  • Handle small amounts of petty cash disbursements as needed.
  • Collect donations as needed.
  • Provide limited input into policies and procedures concerning donor and funder management and stewardship as needed.
  • Use and maintain organizational assets in accordance with guidelines.
  • Protect personal information accessed through the role.
  • Perform other assigned work-related duties.
