Responsibilities
  • Obtain, confirm, and enter demographic, financial, and clinical information needed for financial clearance of scheduled patient accounts.
  • Monitor cancellations and quickly identify and fill canceled slots to mitigate decreased provider productivity and revenue loss.
  • Contact patients’ families or physicians’ offices to obtain missing insurance information.
  • Verify insurance and confirm patient coverage eligibility, notifying patients and referring physicians when eligibility fails.
  • Create and validate patient identification bands in accordance with patient safety and risk management protocols.
  • Collaborate with scheduling departments to identify add-on patients.
  • Create estimates for hospital and professional fees.
  • Obtain authorizations, pre-certifications, and referrals.
  • Notify patients of liabilities before the date of service and collect funds.
  • Maintain accurate records, files, and documentation in the system of record.
  • Serve as a lead resource for lower-level Patient Services staff and assist with training.
  • Recommend approaches to management for improving performance and productivity.
  • Respond to technical issues from patients, physicians, and employees through phone, email, web messages, and fax.
  • Establish collaborative relationships and open communication with providers, clinical support teams, and patients.
  • Coordinate and schedule pre-operative and post-operative visits and surgical procedures in the system according to specialty provider instructions.
  • Validate patient identity using two identifiers, obtain pertinent documents, and scan documents into the system.
  • Interview patients and update demographic, financial, registration, and insurance information in the electronic system.
  • Explain and obtain signatures on legal, ethical, and compliance documents from patients or legal guardians before services are rendered.
  • Ensure required documents, consents, implants, and tissues are available before procedures.
  • Verify insurance information, obtain benefits, and determine financial classification.
  • Review discrepancies in automatically generated estimates and create accurate detailed hospital and professional estimates.
  • Explain insurance benefits, global or flat-fee options, and collect co-payments, deductibles, co-insurance, and non-covered amounts before surgery.
  • Work bypass warnings, registration work queues, and Medicare Secondary Payer Questionnaires when applicable.
  • Confirm that the Consent for Surgery is signed by the patient and provider and that the listed procedure matches the surgery schedule.
  • Follow up with departments to ensure pre-operative results are available before procedures.
  • Order and create purchase orders and track implants or tissues from external vendors when needed.
  • Arrange bed assignments or transfers when applicable and work with the healthcare team to resolve unique situations and troubleshoot issues.
  • Meet individual and departmental key performance indicator goals for co-pay, previous balances, estimate collections, patient satisfaction, accuracy rates, and processing time.
  • Respond to and resolve complex scheduling and billing inquiries and patient grievances.
  • Cancel and reschedule visits and surgeries as needed because of provider call-outs or weather conditions.
  • Float and cover other surgery specialties as a cross-trained representative.
  • Serve as a subject matter expert for Surgery Services Representatives and assist with training and supervision.
