Position Summary
The Event Operations Coordinator role reports directly to the Events Manager and is responsible for the coordination and execution of off-premise and virtual events, and managing internal and external relationships. The ideal candidate will be a self-starter that is able to work individually with little supervision, as well as with a team. The goal is to provide epic High West experiences to all clients by creating unforgettable events that highlight the best of our brand. High West’s mission “to make delicious whiskey, to share our love of whiskey with our customers, and to celebrate our home, The West” and vision to “be known worldwide as a top tier Whiskey maker with the best visitor experience in the industry” will guide the activities of this role.
Responsibilities
- Field incoming event inquiries for off-premise and virtual events
- Off-site walkthroughs with potential clients
- Plan, execute, and manage off-premise and virtual events
- Setup and break down of off-premise events
- Backup for ambassadors if needed for off-premise tastings
- Work closely with Event sales team, building relationship with client throughout coordination process
- Work closely with Whiskey Ambassador team: training and staffing
- Manage and support clients throughout event coordination and execution
- Provide timely responses to questions and provide options
- Floorplans, timelines
- Work with Whiskey Ambassador team in coordinating all final details with client
- Communication with staffing managers, general store & finance to be sure all data is entered into event management system
- Day of event lead as needed
- Vendor and equipment coordination
- Work with event sales reps for rental plans and ordering
- Works with Events Team to manage events equipment
- Support in weekly BEO meetings: Meeting efficiency and improve informing up and cross functions
- Drive increased revenue through coordinating booked events
- Assist with coordinating High West promotional events
- Point person for info@ e-mail
Minimum Qualifications
- Minimum of 1 year experience in event coordination
- Passion for hospitality and events with a willingness to do what is needed to produce the best experience for our guests
- Strong interpersonal and communication skills
- Verbal, written, listening & presentation
- Ability to take direction and work with existing guidelines and processes
- Ability to work with a diverse set of team members
- Ability to communicate effectively with a diverse set of clients
- Must be experienced with computers; to include Microsoft Office (Word, Excel and Power Point), Outlook, e-mail, restaurant reservation, POS and event management software
- Demonstrate a high level of follow through and ability to meet multiple deadlines
- Strong organizational and time management skills
- Dedication to providing excellent customer service
- Willingness to work a flexible schedule, including days, evenings, weekends and holidays
Preferred Qualifications
- Previous experience in the hospitality industry preferred

Physical Requirements/Work Environment
Physical Requirements: The employee frequently is required to sit or stand for long periods of time. The employee is occasionally required to lift and/or move objects up to 55 pounds. Frequent walking, including going up and down stairs and bending are required.
Work Environment: Working conditions at an event may require the employee to be outside for extended periods of time and/or occasionally in a kitchen with slippery floors. Irregular shifts, nights, weekends, and long hours may be required, particularly when working an event.

The salary range for this role is:
$20.67 - $29.14
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but limited to, the prevailing minimum wage for the location, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.
