Requirements
  • A high school diploma or equivalent is required.
  • At least three years of experience in an administrative or office support role is required.
  • Experience in a parish, school, or ministry environment is preferred.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, is required.
  • The ability to perform routine administrative tasks accurately and efficiently is required.
  • The ability to read, interpret, and compose routine correspondence with a strong command of the English language is required.
  • The ability to record and prepare meeting minutes is required.
  • The ability to perform basic mathematical functions, including addition, subtraction, multiplication, and division, is required.
  • The ability to manage multiple tasks and prioritize work in a dynamic environment is required.
  • The ability to maintain confidentiality and handle sensitive information with discretion is required.
  • The ability to interact professionally and work effectively with clergy, staff, volunteers, parishioners, and families is required.

Responsibilities
  • Maintain records related to faith formation programs, including registrations, rosters, sacramental documentation, attendance, youth ministry information, and catechist information.
  • Maintain and update databases of families and students enrolled in programs, process registrations, and update sacramental records and program participation data.
  • Ensure that adult leaders and advisors comply with diocesan safety regulations, including fingerprinting and criminal background checks.
  • Coordinate parish youth ministry activities in collaboration with the Faith Formation Director, including planning, promotion, administration, and implementation of youth programs, retreats, service opportunities, leadership development initiatives, and special events for middle school and high school youth.
  • Coordinate and support administrative needs for meetings, classes, sacramental preparation, liturgical celebrations, retreats, youth ministry, and other parish events.
  • Provide front-office and receptionist support as the ministry point of contact by answering phones, recording and relaying messages, and responding to routine questions about programs, policies, and events.
  • Prepare and send correspondence, schedule activities, maintain files, and create and update forms and materials.
  • Collect, track, and record program-related payments; prepare deposits and submit documentation according to parish financial procedures.
  • Gather and maintain sacramental documentation, including certificates and related records.
  • Prepare reports by collecting and organizing requested information and data.
  • Order and maintain supplies, materials, and resources for catechetical programs and ministry activities.
  • Maintain organized filing systems, bulletin boards, and program materials.
  • Attend required meetings, record minutes, and provide administrative support as needed.
  • Support general parish administrative operations and contribute to overall team effectiveness.
  • Work evenings and weekends as necessary, with weekday scheduling adjusted to accommodate program needs.
