Requirements
  • A high school diploma or equivalent is required.
  • Six months of experience in an administrative or clerical position is required.
  • Experience with a multi-line telephone system is required.
  • Must be able to type a minimum of 50 words per minute.
  • Knowledge of office machines, equipment, and procedures is required.
  • Proficiency with Windows, Microsoft Office including Word, Excel, and PowerPoint, and the internet is required.
  • Must be able to read, write, speak, and understand English.
  • Must be able to sit for up to 8 hours per day, stand for up to 2 hours per day, and walk for up to 2 hours per day.
  • Must be able to lift, transfer, push, or pull residents, patients, or equipment and supplies weighing up to 25 pounds.
  • Must work weekends, evenings, and holidays as scheduled.
  • The role is occasionally subject to residents or patients with various disease processes and has a Risk Category III exposure to bloodborne diseases.
Responsibilities
  • Answer the multi-line telephone system and direct calls to the proper departments or staff.
  • Monitor the main entrance, greet visitors, verify who is entering the building, maintain the sign-in log for visitors, volunteers, and vendors, and direct them to the appropriate staff member, department, office, or resident room.
  • Calmly handle emergencies involving resident alert alarms, fire alarms, and similar events.
  • Maintain and update the resident directory, emergency phone contacts, department extensions, and key personnel information daily.
  • Receive, sort, and distribute mail as directed, and update the resident mail card file or list for forwarding purposes.
  • Interface directly with the public by greeting and directing visitors in a pleasant and professional manner.
  • Listen and respond to the needs of residents and staff members.
  • Assist with administrative duties as directed, including typing, filing, and copying.
  • Complete the Daily Huddle information for the location.
  • Complete Channel 2 broadcast information, if applicable.
  • Complete gift shop inventory and cash flow, if applicable.
  • Schedule the chapel and set up the room as needed, if applicable.
  • Maintain business office files, if applicable.
  • Sell lunch tickets and coordinate additional guests with the Culinary and Nutritional Services Department, if applicable.
  • Input beauty shop charges, if applicable.
  • Track garage space rental, if applicable.
  • Dispatch security when needed and applicable.
  • Perform all other duties as assigned.
