Requirements
  • Experience supporting C-suite or senior executives as an Executive Assistant or in a similar role.
  • Experience managing complex executive calendars and scheduling meetings across multiple stakeholders.
  • Experience coordinating executive travel logistics, including flights, hotels, and itinerary changes.
  • Experience organizing meetings end-to-end, including agendas, invitations, materials distribution, and follow-ups.
  • Experience with administrative operations such as contract routing, records management, and expense reporting.
  • Proficiency with Microsoft 365, including Outlook, Google Workspace, Teams or Zoom, and document management tools.
  • Authorization to work in the United States.
Responsibilities
  • Coordinate and manage calendars, meetings, and travel logistics for senior executives, prioritizing engagements and optimizing time utilization.
  • Organize and support governance and administrative tasks, including board materials, contract routing, records management, and expense reporting.
  • Facilitate end-to-end meeting coordination, including agenda preparation, invitations, materials distribution, and follow-ups.
  • Ensure accurate and timely handling of administrative operations to enable seamless leadership functions.
Desired Qualifications
  • Experience supporting an executive leadership team.
  • One to three years of combined experience as an Executive Assistant, Paralegal, or Legal Assistant in a corporate or law firm environment, preferably supporting executives within the construction industry or a heavy-industry corporate environment.
  • Experience managing sensitive legal correspondence, tracking billable hours, and reviewing legal documents.
  • Strong background in drafting and reviewing legal documents, contracts, and subcontracts relevant to construction law, such as lien waivers and compliance forms.
  • Bachelor's degree or equivalent professional experience.
  • Proficiency with expense reporting tools such as Concur.
