This position is onsite 5 days a week at the Center for Imaging Excellence – 2050 Kenny Road.
Functions as the Administrative Coordinator for the Research Division of the Department of Radiology, by providing comprehensive administrative support. Anticipates the professional needs of division faculty in relationship to their responsibilities; performs a variety of complex and confidential administrative support duties on behalf of research faculty; effectively anticipates support needs and efficiently prioritizes duties; acts as first contact for all inquiries to Division faculty; researches, collects and summarizes data and information requested by research faculty to aid in decision making and strategic planning processes; conveys directives and information from division faculty; takes, types and transcribes meeting minutes; proactively manages Division faculty calendars and scheduling of meetings; independently composes and responds to routine correspondence; assists with recruitment, onboarding, and credentialing of Division faculty; monitors compliance of all Division faculty; Assists with various administrative functions; assists faculty with budget preparation and monitoring, including tracking expenses and processing reimbursements; arranges complex and detailed travel plans and itineraries for the Division faculty and their team members, compiles documents for meeting-related travel and processes required forms; prepares travel orders using travel system; prepares financial requests for Division faculty and their teams using Workday system; schedules and coordinates speaking engagements including internal and external speakers; maintains professional society memberships; maintains a complete and up to date CV and biosketch for all Division faculty; assists with collecting and assembling the documents required for funding proposal submissions and progress reports; assists with the required aspects of faculty promotion for Division faculty through the Appointment, Promotion and Tenure (AP&T) process. Organize and coordinate office operations and procedures, ensuring effective communication and workflow among faculty and team members; managing office supplies, equipment, and facilities, ensuring availability and functionality for research activities; coordinate and support the planning and execution of seminars, workshops, and conferences held at the CIE; fosters a collaborative and supportive office environment, addressing the needs and concerns of faculty, students, and research staff. Other Duties as assigned.
