Requirements
  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience, including administrative or program support to professional staff and management, secretarial duties supporting a manager, coordinating communications between a manager, staff and program clientele, supervision of subordinate staff, or researching information from internal and external sources; an equivalent combination of education and experience is acceptable.
  • Alternatively, one year of experience as an Administrative Assistant III in Nevada State service.
  • A valid Class C driver’s license or higher operator’s license is required at appointment and throughout employment.
  • Ability to lift coin bags weighing up to 25 pounds when assisting with weekly meter money counts.
  • Ability to occasionally lift up to 20 pounds, frequently exert up to 10 pounds of force, and walk or stand for significant periods while pushing or pulling objects.
  • Ability to see, hear, and communicate through speech.
Responsibilities
  • Manage front office staff, including hiring, providing feedback, completing performance evaluations, training, managing time-off requests, assigning tasks, ensuring task completion, and providing backup support.
  • Oversee front office operations, including cash drawer balancing and deposits, discrepancy correction, annual permit purchasing, parking-system permit configuration, permit eligibility verification, permit availability, permit distribution, and escalated customer issues.
  • Manage high-level front office financial transactions, including citation void requests, payment-error corrections, duplicate-payment reviews and refunds, and P-card reconciliation for two department credit cards.
  • Coordinate citation collections, including monthly citation notifications by email and mail.
  • Manage the payroll deduction permit process, including cancellations, exchanges, refunds, delinquent-payment reviews, employee-separation notifications, and parking-permit returns.
  • Manage campus parking inventory, including annual inventory reviews, zone-specific data reports, permit allocations, reserved-space invoices, payment monitoring, permit-sales reporting, and campus map updates.
  • Manage the internal Campus Sign Map and keep inventory changes and reserved signage accurate.
  • Coordinate with the Field Supervisor on construction projects and with the Special Event Coordinator on event parking.
  • Maintain calendars, coordinate training events, prepare and take meeting notes, and handle internal and external customer-service issues.
  • Serve as Secretary of the Parking and Traffic Board by overseeing communications, coordinating and scheduling meetings, and preparing and maintaining meeting minutes.
  • Enforce campus parking policies and procedures consistently and tactfully.
  • Work outside regularly scheduled hours when required as Essential Personnel during campus emergencies, special events, or closures.
