Requirements
  • A Bachelor's degree in Business Administration, Finance, Real Estate, Communications, or a related field, or equivalent professional experience, is an asset.
  • One to two years of experience coordinating multiple commercial transactions, complex projects, or fast-paced operational workflows under tight deadlines is required.
  • Experience in commercial real estate, commercial lending, financial services, banking, or legal administration is desirable for the role's industry context.
  • Familiarity with AML/FINTRAC requirements and corporate documentation is desirable.
  • Excellent written and verbal communication skills in both English and French are essential.
  • Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint, is required.
  • The ability to proactively identify process improvements, exercise sound judgment with confidential data, and work independently in a high-growth environment is required.
  • Four days per week of on-site presence at the Montreal office is required.
Responsibilities
  • Oversee the Montreal and Quebec transaction pipeline, maintain data integrity in Orbit, and manage files from mandate through post-closing and archiving.
  • Coordinate transaction closings by liaising with borrowers, lenders, legal counsel, notaries, and internal teams to ensure every requirement is met on time.
  • Manage transaction compliance involving AML/FINTRAC, KYC, broker licensing, and monthly AMF reporting in Quebec, while collaborating with the national Trust & Safety team to standardize best practices.
  • Optimize execution workflows by formatting confidential information memoranda, creating presentations, conducting market research, and designing standardized templates for the team.
  • Manage LinkedIn content, client gifts, promotional assets, and end-to-end networking events and conferences to support the regional brand.
  • Own departmental expenses, travel arrangements, commissions, invoicing, and subscription management for operational platforms.
  • Manage meetings and communications while handling confidential information discreetly.
  • Execute related tasks or special assignments that support leadership and overall team efficiency.
Desired Qualifications
  • Experience with Orbit, Salesforce, or customer relationship management deal-management platforms.
