Requirements
  • A Bachelor's Degree or equivalent experience is required.
  • Must be knowledgeable of operations and flight training programs.
  • Must be self-motivated and accountable.
  • Must have proficiency in Microsoft Office, with emphasis on Excel.
  • Must hold or perform the functions of an FAA Airman Certification Representative, SEVP Designated School Official, IACRA School Administrator, and TSA Agent.
  • Must have superior customer service skills.
  • Must speak, read, and understand English.
  • Must demonstrate superior attention to detail, accuracy, and multitasking.
  • Official transcripts of all collegiate work must be sent directly from the attended institution to the Office of Human Resources before the first day of employment.
  • International degrees must have a course-by-course official evaluation and translation sent directly to Human Resources from a National Association of Credential Evaluation Services-affiliated evaluation company.
  • The employer uses E-Verify.
Responsibilities
  • Administer all pilot trainee activities.
  • Manage registration, enrollment, and courses, including ETA, electronic records, and the PAS database.
  • Serve as a FITA liaison with the Registrar and COA faculty and staff.
  • Provide add/drop registration forms and verify Banner registrations.
  • Print check-in forms for new, returning, and incomplete trainees.
  • Collect and verify trainee documents.
  • Arrange fingerprinting appointments.
  • Enter, complete, and change courses in ETA.
  • Ground all COA trainees at the start of each semester and check in or unground trainees as needed.
  • Collect and post knowledge test results in ETA.
  • Process grade sheets and provide progress reports as required.
  • Close out trainees upon completion.
  • Process retail trainee registration forms, verify documents, enter records in the PAS database and TFBO when necessary, manage ETA courses, arrange fingerprinting and transportation, coordinate Florida Tech services, post knowledge test results, and close out trainees.
  • Support international contract trainees by updating the International Trainee Resource Guide, assisting with TSA applications and medical exams, supporting check-in and orientation, verifying and scanning passports, visas, and I-20s, taking TSA photos, and providing administrative support.
  • Process grade sheets for J-1 trainees and enroll M-1 students in Banner.
  • Collect passport data, provide I-20 application information, verify financial documentation, issue I-20s, and register trainees in SEVIS upon arrival.
  • Prepare and coordinate induction schedules and check-in, maintain M-1 spreadsheets and records, and coordinate English testing.
  • Obtain signed Part 141 Enrollment Certificates for each course and verify FAA Medical Certificates.
  • Assist the IACRA School Administrator with applications as requested.
  • Collect end-of-course paperwork from IPs and prepare check-ride folders.
  • Collect knowledge test originals, verify documentation, print checkride checklists, and prepare and print Part 141 Graduation Certificates with Part 141 Ground Training Logs.
  • Maintain DSO status and stay current with SEVP regulations.
  • Advise international students on immigration matters, assist with I-20 extensions, process Requests for Evidence from DHS and I-20 travel requests, and review SEVIS alerts.
  • Keep SEVIS updated with FITA trainees.
  • Assist with instructor standardization and TSA audits.
  • Gather, track, and verify required trainee documents.
  • Periodically review and update TSA compliance for all trainees and maintain TSA records for inspection.
  • Perform additional duties as assigned.
