Requirements
  • A high school diploma, GED, or equivalent is required.
  • Three to five years of experience in an administrative capacity is required.
  • Applicants must have strong organization, time management, attention to detail, problem-solving, and decision-making skills.
  • Applicants must have computer skills and experience with Microsoft Office, Outlook, and Excel.

  • The role requires occasional travel to project sites and the ability to work safely around heavy equipment, chemicals, dust, fumes, uneven terrain, and extreme weather; required personal protective equipment must be used during site visits.
Responsibilities
  • Manage field office and site supplies.
  • Assist Project Managers and Construction Managers with administrative tasks, including project submittals.
  • Greet visitors and maintain visitor sign-in records.
  • Receive, sort, and distribute receiving tickets, daily forms, mail, express envelopes, and courier deliveries.
  • Manage and update spreadsheets for materials inventory, procurement, inventory control, and associated delivery costs.
  • Collect, review, and record fuel receipts in a tracking system.
  • Enter data into ADP software for payroll processing and record-keeping.
  • Handle timecard entries and maintain accurate employee work-hour records.
  • Prepare and post outgoing mail and express packages, maintain the postage meter, and arrange courier services.
  • Order and maintain field office and site supplies.
  • Check and distribute incoming email requests from the site information email inbox, when applicable.
  • Coordinate and book travel arrangements for employees and interviewees and monitor travel expenses.
  • Type memorandums, letters, and other documents as requested by management.
  • Assist with project submittals, including clerical revisions requested by the Project Manager.
  • Keep office and filing/storage areas organized and clean and maintain awareness of document and supply locations.
  • Coordinate site events, crew lunches, and meetings.
  • Perform additional assignments and special projects as directed.
