Requirements
  • A high school diploma is required.
  • At least 2 years of experience is required.
  • Experience providing executive-level administrative support is required.
  • Demonstrated proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams, is required.
  • Excellent oral and written communication skills geared toward executives are required.
  • Demonstrated ability to write clear, concise, and articulate communication with a focus on quality control and attention to detail is required.
  • Strong interpersonal and customer service skills that foster teamwork and create positive relationships with staff and principals are required.
  • Working knowledge of coordination requirements for the successful preparation and approval of reports, briefings, memoranda, and presentations is required.
  • Ability to prioritize, multitask, plan, solve problems, and adapt in a fast-paced and strategic environment under minimal supervision is required.
  • A Top Secret/SCI security clearance is required.
  • U.S. citizenship is required.
  • Ability to perform repetitive motions with the hands, wrists, and fingers is required.
  • Ability to engage in and follow audible communications in emergency situations is required.
  • Ability to sit for prolonged periods at a desk and work on a computer is required.
  • Ability to walk for extended periods throughout the workday, including moving between buildings and covering long distances by foot, is required.
Responsibilities
  • Provide expert-level administrative support for senior defense executives.
  • Directly manage, maintain, and synchronize complex calendars and schedules of executive personnel; proactively manage calendars; resolve conflicts; orchestrate changes; reprioritize as appropriate; and receive, coordinate, and respond to invitations for senior personnel.
  • Provide daily read-ahead information for the next day for senior personnel, detailing meetings and associated read-ahead materials, before the end of the duty day.
  • Facilitate visitors by coordinating parking and building access, receiving and escorting high-level officials within the Pentagon and/or Mark Center, and ensuring the office space is presentable for senior officials.
  • Maintain a professional work environment by following Senior Executive Service protocols.
  • Manage telephone communications by answering phones promptly, taking accurate messages, and referring calls to the appropriate individual or office.
  • Plan, coordinate, and confirm logistical support, including transportation, badges, security clearance paperwork, and audiovisual support, for meetings associated with the organization’s activities.
  • Coordinate official travel requests for senior officials in compliance with the Joint Travel Regulations; coordinate transportation; prepare travel authorizations and vouchers using the Defense Travel System; create reservations; assist with passports and visas; ensure compliance with the Foreign Clearance Guide; prepare visit and clearance requests; reconcile travel expenses; maintain travel records; and resolve travel-related discrepancies.

Desired Qualifications
  • A Bachelor's or Associate degree is preferred.
  • Experience coordinating government travel, including knowledge of the Defense Travel System and Joint Travel Regulations, is preferred.
  • Department of War experience is preferred, with Office of the Secretary of War experience highly desirable.
