Requirements
  • A high school diploma or equivalent is required.
  • At least 3 years of customer service or office administration experience is required.

Responsibilities
  • Facilitate and implement all phases of the recruitment process, including sourcing, screening, and interviewing candidates using an Applicant Tracking System.
  • Explain position details, the hiring process, and compensation structure to candidates.
  • Prepare new hire paperwork and ensure legislative requirements are met.
  • Perform reference investigations to support selection decisions.
  • Oversee new hire onboarding, verifying completion of orientation and appropriate scheduling of first assignments.
  • Ensure I-9, E-Verify, state and federal background checks, licensing, and certification records are compliant and uploaded into electronic employee files.
  • Assist with caregiver training, orientation, and performance evaluations.
  • Maintain compliance with equal employment opportunity and related employment laws and regulations.
  • Maintain accurate and current employee and client records and supporting documentation.
  • Support internal and external audits by extracting and explaining payroll and compliance-related data.
  • Monitor visit and timesheet data flow between systems and escalate discrepancies to support compliance and accurate payroll processing.
  • Ensure compliance with legal, regulatory, and organizational requirements for home care services.
  • Answer employee requests and questions in person, by email, or by phone.
  • Direct employee requests and questions to the responsible departments.
  • Assist field staff with employee-profile updates, including personal information, direct deposit, wage changes, and password resets.
  • Manage payroll discrepancies, loan requests, and pay card updates; participate in the payroll call group by triaging and researching payroll inquiries.
  • Complete employment verifications as needed.
  • Review and process non-EVV payroll paperwork daily and resolve scheduling, field-employee, and management issues to ensure correct wage payments.
  • Serve as a point of contact for clients, their families, and caregivers, addressing inquiries and concerns.
  • Maintain regular communication with clients and families and provide updates to foster positive relationships with clients and service coordinators.
  • Collaborate with healthcare professionals, social workers, schedulers, and other stakeholders to coordinate care and support client well-being.
  • Perform general administrative and office support tasks as needed.
  • Travel occasionally to local offices for onboarding or training.
Desired Qualifications
  • Familiarity with home care software and scheduling systems is preferred but not required.
  • Experience in a healthcare or home care coordination role is preferred but not required.
