Requirements
  • A high school degree or General Educational Development (GED) equivalency is required.
  • At least six months of experience in a medical office setting is required.
  • The candidate must be able to pass a government background check or security clearance.
  • The candidate must possess a current American Heart Association or American Red Cross Basic Life Support Healthcare Provider certification.
  • The candidate should have working knowledge of medical terminology, medical documentation requirements, standard patient scheduling practices, and administrative correspondence and reports.
  • The candidate should be able to use computerized systems such as MHS GENESIS and associated systems on the NHCP network.
Responsibilities
  • Greet patients and visitors at a clinic front desk.
  • Check in patients for patient encounters.
  • Answer the main office phone line.
  • Schedule medical appointments and determine patient eligibility for services as needed.
  • Obtain documentation requested by healthcare providers.
  • Perform administrative and clerical duties supporting medical care and operational activities.
  • Create appointment schedules and templates in the patient appointment computer system.
  • Conduct end-of-day processes and resolve delinquent or pending appointments in the computer system.
  • Provide customer service by telephone and in person.
  • Assist patients and family members with contacting social services, chaplains, health benefits advisors, or patient administration and admission personnel.
  • Create preadmission charts and complete the process in electronic reporting systems.
  • Correct admission errors.
  • Prepare and file weekly and monthly reports based on logs and files.
  • Operate a facsimile machine and photocopy records.
  • Enter doctors' orders for laboratory and X-ray tests for specific patients and retrieve laboratory data through the medical information system.
  • Copy urgent laboratory data reports received by telephone and forward them to the staff physician.
  • Attend training and meetings to maintain skills and update information.
  • Perform administrative procedures related to follow-up and tracking.
  • Reference laboratory orders, results, and reports on government computer systems and records.
  • Communicate with referring laboratories and providers to resolve problems.
  • Accession patients into laboratory rosters with accession numbers and update their status daily.
  • Operate a call center handling inbound and outbound beneficiary calls.
  • Validate beneficiary eligibility and schedule, cancel, and reschedule patient appointments.
  • Make outbound calls to schedule specialty appointments for beneficiaries with direct-care specialty referrals.
  • Record beneficiary calls using government-supplied computers interfacing with the Military Healthcare System GENESIS electronic health record.
  • Document calls in MHS GENESIS according to current Defense Health Agency and San Diego Military Health System policies.
  • Process appointment requests through the Secure Messaging System and make outbound patient-care reminder calls.
  • Generate outbound notification letters for beneficiaries referred to direct-care specialty clinics.
  • Verify beneficiary eligibility through the Defense Enrollment Eligibility Reporting System and update patient demographic information.
  • Schedule beneficiary requests for primary or specialty care appointments and complete cancellation and rescheduling requests.
  • Coordinate appointments with other San Diego Military Health System military treatment facilities.
  • Apply appointment criteria, appointment types, detail codes, provider specialties, and access-to-care standards when scheduling beneficiaries.
  • Cancel or reschedule appointments according to standardized business procedures and update electronic health record referrals when required.
  • Comply with the Health Insurance Portability and Accountability Act, Department of Defense health-information privacy regulations, the Privacy Act, and the Department of Defense Privacy Program when handling appointment changes.
  • Route and transfer calls to appropriate locations.
  • Manage Military Healthcare System GENESIS patient-portal secure-messaging inboxes and respond to patient-initiated messages within two hours.
  • Use standard telephone customer-service scripts.
  • Execute contingency procedures for appointment cancellations, rescheduling, registration, and appointing during inclement weather, system outages, power failures, internet outages, and phone-line outages.
  • Maintain manual records and provide continuity of registration and appointment services during system outages.
  • Prepare appointment schedules in MHS GENESIS for approximately 55 healthcare providers per month.
  • Verify and update patient demographic and insurance information and generate clinical and administrative forms according to military treatment facility standard operating procedures and the MHS GENESIS Super-user Guide.
  • Print technical and administrative reports from MHS GENESIS and provide correspondence to providers and healthcare team members.
  • Screen, record, and redirect approximately 400 to 500 telephone calls per clinic per month.
  • Schedule approximately 750 to 2,000 patient appointments per month and complete appointment notifications.
  • Screen, record, and route secure messages according to military treatment facility standard operating procedures.
  • Check patients into clinics using MHS GENESIS.
  • Submit monthly workload statistics covering calls, appointments, patient check-ins, reports, and provider appointment schedules.
Desired Qualifications
  • At least six months of administrative-support experience in a medical facility supporting multiple practitioners is preferred but not required.
