Compensation Overview

Helping Bond to build an exceptional employee and office experience.  This role requires a unique blend of skills in office management, event and engagement support, ideally with a background in hospitality.  You’ll be the go-to team member for workplace support and management.  You have a growth mindset, are motivated, and demonstrate a positive demeanor. 

What You’ll Do:

Team Member Experience

• Create an extraordinary team member experience for all Bond Vet employees and ensure our engagement strategies are aligned to support the business objectives.
• Provide a positive in-office experience for employees at our Support Center in NY.
• Maintain clear and proactive communication with your manager regarding both office needs and any support you require.
• Similar to our approach of care coordinators in clinics, this role supports and approaches employees in a warm, caring, and proactive manner.

Office Management / Vendor Management

• Perform administrative tasks, including cataloging and maintaining office supplies, managing inventory, and ensuring all necessary materials are readily available to support smooth office operations.
• Act as an interface to the building manager and office vendors.
• Be the go-to person for fostering a positive, inclusive, and dynamic office culture.
• Handle all daily office management - making sure everything runs smoothly and efficiently.
• Proactively communicate with your manager the need for snacks, food, and beverages and ensure sufficient stock of supplies and equipment.
• Restock the Support Center (HQ) kitchen with snacks & beverages in the morning & afternoon.
• Communicate low stock timeline for purchase.
• Ensure each conference room is well-equipped with whiteboard supplies, post-it notes, and pens. 
• Maintain a tidy, clean, and aesthetically pleasing environment to create a positive and professional office environment
• Restock the bathroom with basic supplies. 
• Maintain the office’s cleanliness to create a welcoming and professional environment for candidates and visitors.
• Receive, distribute, scan, and return mail & packages to local UPS, FedEx, and USPS. 
• Be the point of contact for any vendors or building management in person and escalate to the manager for follow-up.
• Setup and breakdown of new hire desks/seating needs.
• Manage and update the office seating chart.
• Regularly check and maintain equipment such as the ice maker, coffee machine, and water fountain to ensure they are in good working order, and contact the appropriate vendor for repairs if necessary.
• Capture surveys of employee feedback for snacks, drinks, and lunches. 
• Clean surfaces and spills to ensure a safe environment for employees.

Event Coordination

• Set up special events such as Thursday lunches, social hours, birthday treats, and company celebrations, ensuring all necessary arrangements are made for a successful event.
• With advance notice, stay late hours to support ad-hoc office events monthly.

About You

• Proven experience in office management, hospitality, or a related field.
• Excellent organizational and planning skills, with the ability to manage multiple tasks simultaneously.
• Strong communication and interpersonal skills, with an emphasis on building relationships.
• Effective verbal and written communication skills
• Ability to build strong relationships inside and outside of the organization
• A proactive and creative mindset passionate about community building, employee engagement and event management.

Qualifications 

• 1+ years experience in an employee or customer experience-related role
• Fundamental data analysis skills in Excel or Google Sheets 

Compensation: $20 - $24 / hour
