  • Experience as an administrative assistant or in office administration or business administration; health care or seniors living experience is an asset.
  • Strong organizational skills and exceptional attention to detail.
  • Professional, friendly written and verbal communication skills.
  • Ability to manage multiple priorities with discretion and confidentiality.
  • Proficiency with Microsoft Office and comfort learning new systems.
  • Passion for supporting seniors, families, and care teams.
Responsibilities
  • Greet and welcome residents, families, visitors, and contractors.
  • Answer and direct phone calls, emails, and inquiries in a timely manner.
  • Manage incoming and outgoing mail and courier services.
  • Support the Office Manager, Site Lead Assistant, and Site Leader with day-to-day administrative operations.
  • Maintain accurate resident, staff, and operational records, files, and reports.
  • Prepare correspondence, meeting minutes, and internal communications.
  • Order office supplies and coordinate equipment servicing as needed.
  • Assist with resident move-ins and move-outs, including documentation and data entry.
  • Support special events, meetings, and site initiatives.
  • Act as a resource for residents and families to help ensure a positive experience.
  • Assist with basic financial transactions, including petty cash and comfort accounts.
  • Use internal systems to maintain accurate information and reports.
