Requirements
  • A minimum of 5 years of dental front office experience.
  • A high school diploma or equivalent.
  • A strong understanding of dental insurance, scheduling, treatment presentation, and financial coordination.
Responsibilities
  • Oversee all administrative front office team members and their accountabilities.
  • Provide additional training for administrative front office team members.
  • Oversee compliance with protocols and guidelines for front office systems, including performance scheduling, financial conversations, telephone communications, recare, reactivation, accounts receivable, and insurance.
  • Maintain HIPAA best practices for patient data, privacy, and security.
  • Maintain HIPAA certification provided by the office.
  • Ensure adherence to financial conversation and financial agreement protocols, including utilization of the financial agreement form.
  • Manage the accounts receivable system and calendar, including statements, calls, texts, and follow-up.
  • Check out patients as they leave the practice by collecting over-the-counter monies due, making financial agreements for subsequent appointments, scheduling treatment or recare visits, verifying providers and insurance batches with supporting documents, and submitting insurance.
  • Manage performance scheduling and scheduling toward all doctors' goals, including monitoring same-day service and upcoming major schedule openings.
  • Support the treatment reactivation system.
  • Serve as second in line for inbound calls and follow communication guidelines for new patient calls, performance scheduling, accounts, insurance, and billing questions.
  • Oversee advance insurance verification for all patients.
  • Oversee the insurance system and calendar.
  • Oversee posting of all payments, including over-the-counter payments, mail payments, and electronic funds transfers.
  • Monitor office email and the patient messaging system throughout the day and take necessary action in patient communications.
  • Monitor patient reviews of the practice.
  • Oversee internal and external marketing projects and return-on-investment tracking, including ensuring all new patients have a source entered into the practice management system.
  • Process end-of-day and end-of-month activities and provide information to the owner, doctors, and business consultant.
