Requirements
  • Bilingual proficiency in French and English is required to support English- and French-speaking clients, lawyers, and professionals.
  • One to three years of relevant experience is required, preferably in a legal or other professional services environment.
  • A post-secondary diploma in a Legal Assistant, Executive Assistant, or Administrative Assistant program is required.
  • Intermediate proficiency in Microsoft Outlook, Word, Excel, and PowerPoint is required.
  • A solid understanding of firm operational policies, processes, and firm-specific technology is required.
  • Strong word processing, spelling, proofreading, and editing skills are required.
  • The candidate must work effectively with team members and demonstrate tact, respect, and professionalism in interactions.
  • The candidate must provide a high level of service to colleagues and clients as required by support requests.
  • The candidate must assess priorities, remain highly organized, manage time effectively, multitask, and work under pressure to meet deadlines.
  • The candidate must actively listen, clarify expectations, and understand situations, issues, and concerns.
  • The candidate must respond to requests, provide progress updates, and communicate obstacles in a timely manner.
Responsibilities
  • Collaborate with team members to triage and manage requests, respond to inquiries, meet deadlines, and coordinate support across departments and individuals.
  • Manage workflow fluctuations with minimal supervision; oversee intake, prioritize work, and coordinate timely completion.
  • Answer process-related questions and troubleshoot timekeeper issues within areas of expertise and responsibility.
  • Liaise with and direct requests to other firm support resources to ensure efficient use of resources.
  • Maintain accurate workflow-system updates to track and monitor requests and provide backup support in the Resource Centre.
  • Enhance job knowledge and technical skills through team participation and share knowledge, information, and mentorship with stakeholders and team members.
  • Perform quality control of personal work, seek clarification when necessary, and review the work of others.
  • Process timekeeper expenses by creating expense reports in accordance with firm guidelines.
  • Submit and process vendor and third-party cheques and invoices for timekeepers in the firm system.
  • Perform administrative support including printing, scanning, faxing, photocopying, archiving, saving and renaming documents in the Document Management System, creating binders, copying to CD or USB keys, database entry, and uploading or downloading from the internet or data rooms.
  • Work with Records Management to create, maintain, and store client files in accordance with firm policies and guidelines.
  • Draft, edit, format, and revise correspondence, memoranda, large transaction documents, reports, forms, and labels.
  • Proofread documents and check formatting, spelling, grammar, and clarity.
  • Prepare basic court documents.
  • Assist with travel bookings and prepare itineraries, including air, lodging, ground transportation, and meal reservations, according to client preferences.
  • Update contact names and addresses in the client database.
  • Support various practice groups with legal documents according to practice-group requirements.
  • Maintain knowledge of legal terminology, court rules and procedures, and applicable medical terminology.
