Position Summary
AWMS is seeking an adaptable coordinator to work within our AWMS Client Services (CS) department. The AWMS CS department operates across three primary functions: Investor/Advisor Services, Transfer Agency Oversight, and Data Platform Solutions.
Our team works closely with stakeholders from multiple Ares business functions (Sales, Accounting, Legal, Marketing, Technology, Investor Relations) as well as external vendors (Transfer Agent, print vendors, outside council, broker dealers, fintech firms, trade processing platforms) to ensure successful trade and data processing resulting in quality investor experiences and robust reporting.
We are seeking a candidate with project management experience and an entrepreneurial spirit ready to lend their organizational prowess to a wide variety of tasks within a fast-paced environment. This position will play a key role in helping organize the many critical functions and overlapping operational timelines executed by across the teams within the AWMS CS department. Therefore, this role requires an adaptive and experienced project manager who can quickly learn and understand high level needs across the multiple operational functions. Through this understanding, the role of Operations Coordinator will support the growth of the AWMS CS department by ensuring key processing deadlines are met, maintain effective workflow management programs, communicate reporting needs for new business relationships, facilitate vendor communications, and support any other ad hoc needs of the AWMS CS department.
Primary Functions & Responsibilities
- Develop, implement, and maintain workflow management systems to keep the AWMS CS Team on track with all tasks and projects
- Serve as the central point of contact for vendors and manage the distribution of internal and external communications
- Support the onboarding of new relationships and products by documenting operational needs and relaying to appropriate subject matter experts within AWMS
- Coordinate the execution of year-end tax initiatives across multiple investment products and tax filing requirements
- Organize and lead weekly team meetings ensuring effective communication and transparency across department functions
- Collaborate with subject matter experts and help maintain a well-organized and documented procedure library allowing for ease of access to information and effective new hire training
- Identify areas of the business which could be improved and streamlined through the application of technology.
Experience Required
- 3-5 years of project management experience
- Strong written and verbal communication skills
- Advanced proficiency in Excel required
- Familiarity with Tableau and Salesforce preferred
- Proven ability to think critically and multi-task under pressure to achieve deadlines during periods of increased activity
- Strong organization skills including attention to detail
- Driven self-starter who can work independently upon receipt of instruction
- Comfort in dealing with ambiguity in dynamic fast-paced environment

The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
$80,000 - $100,000
