Requirements
  • At least 3 years of general administrative experience, with an associate degree in office occupations, business, or a closely related field substituting for 18 months of experience, or a bachelor's degree in business administration or a directly related field substituting for 3 years of experience.
  • At least 2 years of experience performing highly detailed work involving sensitive or privileged information.
  • Proficiency with Microsoft Office tools.
  • Knowledge of general office procedures, practices, and etiquette.
  • Knowledge of grammar, punctuation, and spelling.
  • Knowledge of customer service techniques.
  • Knowledge of procedures for handling sensitive or confidential documents.
  • Ability to manage time, multitask, and adjust to changing priorities.

Responsibilities
  • Perform duties related to maintaining and processing invoices and verifying receipts for pre-approval.
  • Resolve discrepancies and ensure transactions are recorded according to agency standards.
  • Protect the confidentiality of sensitive or privileged information.
  • Track credits and returns.
  • Review and update BPO/CPO records, process PeopleSoft requisitions, and reconcile the monthly P-Card statement.
  • Provide on-site administrative support to Parts staff at Kasch Park and secondary support to Vehicle Maintenance as needed.
  • Maintain office supplies for the area.
  • Manage communications and meeting documentation, including notetaking and follow-up actions.
  • Back up the Senior Coordinator of the Parts subdivision by completing travel authorizations, making travel arrangements, and reconciling expense claims.
  • Maintain Automotive Service Excellence credentialing and assigned-location uniforms.
  • Submit and manage Parts-specific facilities work orders.
  • Support the Parts Inventory Manager in developing the annual budget.
  • Monitor expenditures and forecast funds needed for staffing, equipment, materials, and supplies.
  • Collect, research, and analyze procurement information for the Parts Inventory Manager or designee.
  • Oversee audit and contract compliance.
  • Monitor contract pricing and service requirements and maintain quote files.
  • Support Accounts Payable data entry and file annual archives as needed.
