Requirements
  • A post-secondary diploma in a Legal Assistant, Executive Assistant, or Administrative Assistant program is required.
  • One to three years of relevant experience is required.
  • Intermediate proficiency in Microsoft Suite, including Outlook, Word, Excel, and PowerPoint, is required.
  • A solid understanding of firm operational policies, process knowledge, and firm-specific technology is required.
  • Strong word processing, spelling, proofreading, and editing skills are required.
  • The candidate must work effectively with team members and demonstrate tact, respect, and professionalism in all interactions.
  • The candidate must provide a high level of service to colleagues and clients as required by specific support requests.
  • The candidate must assess priorities, perform duties in a highly organized manner, demonstrate strong time management and multitasking skills, and work well under pressure to meet deadlines.
  • The candidate must actively listen to understand client and colleague needs, ask questions to clarify expectations, and fully understand situations, issues, and concerns.
  • The candidate must respond to client and colleague requests, provide progress updates, and identify and communicate obstacles in a timely manner.
Responsibilities
  • Collaborate with team members to provide comprehensive support by triaging and managing requests, responding to inquiries, meeting deadlines, and coordinating across departments.
  • Manage workflow fluctuations with minimal supervision, oversee the intake process, and prioritize and coordinate work for timely completion.
  • Answer process-related questions and troubleshoot timekeeper issues within the areas of expertise and responsibility.
  • Liaise with and direct requests to other firm support resources to ensure efficient and appropriate use of resources.
  • Maintain accurate workflow-system updates to track and monitor requests and provide backup support in the Resource Centre.
  • Enhance job knowledge and technical skills through team participation and share knowledge, information, and mentorship with stakeholders and team members.
  • Perform quality control on personal work, seek clarification when necessary, and review the work of others.
  • Provide support to lawyers in specific practice groups to maintain the firm’s legal support services and continuous legal operations.
  • Process timekeeper expenses by creating expense reports in accordance with firm guidelines.
  • Submit and process vendor and third-party cheques and invoices on behalf of timekeepers in the firm’s system.
  • Perform administrative support tasks including printing, scanning, faxing, photocopying, archiving, saving and renaming documents in the firm’s Document Management System, creating binders, copying to CD or USB keys, database entry, and uploading and downloading from the internet or data rooms.
  • Work with Records Management to create, maintain, and store client files in accordance with firm policies and guidelines.
  • Draft, edit, format, and revise correspondence, memoranda, large transaction documents, reports, forms, and labels.
  • Proofread documents and check formatting, spelling, grammar, and clarity.
  • Prepare basic court documents.
  • Assist with travel bookings and prepare travel itineraries, including air, lodging, ground transportation, and meal reservations.
  • Update contact names and addresses in the client database.
  • Support practice groups with legal documents according to their requirements.
  • Maintain in-depth knowledge of legal terminology, court rules and procedures, and medical terminology where applicable.
