Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services; or a bachelor's degree and two years of relevant experience in business management, public administration, or administrative services.
  • Ability to perform the listed physical functions, including frequent sitting, walking, bending, repetitive hand and arm movements, and occasional lifting, carrying, pushing, or pulling of objects up to 15 pounds.
  • Ability to work indoors continuously and occasionally work outdoors in all weather and temperature extremes, dusty areas, or confined spaces.
  • Ability to maintain the specified corrected vision, hearing acuity, peripheral vision, depth perception, tactile sensory functions, and finger dexterity.
  • Ability to perform gross motor functions with frequent fine motor movements.
Responsibilities
  • Support the operations of the College of Medicine Human Resources Center of Expertise and provide administrative support to assigned departments.
  • Serve as liaison among College of Medicine departments, University Human Resources Management, Medical University of South Carolina Physicians Human Resources, Medical University Hospital Authority Human Resources, the Center for Global Health, and other stakeholders.
  • Oversee and coordinate departmental personnel systems, including hiring, termination, and employee relations.
  • Draft and create position descriptions and confirm required departmental or Dean's Office approvals.
  • Assist with recruitment, external job postings, candidate interviews, new-hire follow-up, non-recruited hires, salary approvals, and hire completion with University, MUSCP, and MUHA Human Resources.
  • Process New Hire in Ourday, dual-employment requests, bonuses, assignment changes, salary and fund changes, promotions, and TERM actions, including auxiliary processes such as Ourday and SailPoint.
  • Review, revise, and rewrite position descriptions; gather information, redact comparable descriptions, prepare documents, and draft letters of justification for personnel actions.
  • Create and maintain organizational charts for assigned departments and divisions.
  • Coordinate onboarding for non-paid opportunities, obtain approvals, and coordinate health screenings and administrative sign-up.
  • Coordinate and perform logistical and administrative tasks for the Human Resources Center of Expertise and ensure timely delivery of services to client departments.
  • Identify and meet departmental human-resource needs, partner with administrative support staff, plan and attend meetings, participate on committees, and disseminate HR information accurately.
  • Coordinate faculty appointments, credentialing, clinical privileges requests, offer letters, welcome communications, onboarding tasks, billing packets, compliance training, provider profiles, and MUSCP Human Resources paperwork.
  • Serve as the primary point of contact for credentialing representatives, Human Resources, Managed Care, and the Credentialing Program Manager.
  • Facilitate faculty promotion and tenure processes, including recommendation letters, chair letters, curriculum vitae revisions in Interfolio, packet review, and presentation to the APT Committee.
  • Enter and maintain personnel data and electronic records across HR information systems and Access reporting, including new hires, salaries, faculty offers, visas, bonuses, increases, reclassifications, volunteers, postings, and committee approvals.
  • Assist departments with probationary, catch-up, annual on-cycle, MyQuest, Employee Satisfaction, and Conflict of Interest reviews.
  • Add, update, and track Ourday reviews, pillar goals, success criteria, position descriptions, job duties, rating scales, achievement ratings, approvals, and records.
  • Assign training and run departmental reports in Ourday.
  • Serve as an Employee Satisfaction Survey Ambassador and communicate updates to assigned departments.
  • Follow up with employees regarding required Conflict of Interest responses.
  • Serve as timekeeper for the Dean, direct reports, CoE-HR staff, and other University personnel; run reports, cross-reference leave slips, maintain files, and provide backup timekeeping training and support.
