Requirements
  • A high school diploma or General Education Diploma (GED) is required.
  • The ability to follow oral and written instructions, generally commensurate with some college-level education or equivalent experience, is required.
  • Computer literacy with letters, newsletters, email, Zoom, and Teams is required.
  • Math aptitude generally commensurate with some college-level education or equivalent experience is required.
  • For HUD or MSHDA villages, a Certified Occupancy Specialist certificate is required at hire or within six months of the position.
  • The ability to communicate professionally and effectively with all levels of staff and visitors is required.
  • One to three years of related professional business office experience or an equivalent combination of education and experience is required.
  • Experience working with at least one subsidized program, such as tax credit/MSHDA, low-income, or HUD, is required.
  • Efficient knowledge and use of Microsoft products, word processing, spreadsheets, database systems, and email is required.
Responsibilities
  • Organize, direct, and/or manage departmental functions including reception, the telephone communication system, and mail distribution.
  • Attend and/or participate in meetings and events and transcribe and prepare minutes or summaries when needed.
  • Accumulate, maintain, verify, and report data, statistics, and research.
  • Assist with rent collection and the monthly resident certification process.
  • Compose, prepare, monitor, and respond to correspondence.
  • Direct and assist residents, families, business invitees, and staff.
  • Schedule and maintain appointments and calendars.
  • Create and maintain filing systems.
  • Respond to inquiries and provide information regarding the Village.
  • Schedule and conduct Village tours.
  • Establish and maintain resident and prospect records, including filing, revising and updating records and charts, gathering required data and documentation, and entering data.
  • Assist with information gathering, including scheduling and conducting admission interviews with potential residents and families.
  • Evaluate the need for and requisition adequate supplies and equipment and follow up on assurance issues.
  • Maintain maintenance work orders.
  • Coordinate special events as assigned by the Administrator.
  • Create newsletters, flyers, and other documents using various software programs and desktop publishing.
  • Maintain a positive customer service atmosphere, including continuous quality improvement, teamwork, mutual respect, professionalism, and accountability.
  • Attend and participate in appropriate departmental and Village meetings, training, and development opportunities.
  • Uphold and promote the organization's mission, vision, beliefs, values, strategic goals, objectives, and Servant Leadership.
  • Follow established employment, departmental, safety, and applicable federal, state, and local policies and regulations.
  • Perform other duties and tasks as assigned or requested.
Desired Qualifications
  • Experience working in the senior housing industry is a plus.
  • Training as a Certified Occupancy Specialist at HUD or MSHDA villages is a plus, although training will be provided.
  • Experience with affordable housing property management software is a plus for HUD- or MSHDA-governed villages.
