Requirements
  • Undergraduate Degree in a related discipline (e.g. Kinesiology, Physical Education) and/or equivalent combination of education and experience would be considered
  • Experience with academic advising in a post-secondary environment
  • Knowledge of academic advising, including advising models, theories, and techniques, and counselling theories
  • Understanding of the undergraduate course calendar, course offerings, prerequisites, and class scheduling for the Department/Faculty
  • Knowledge of University regulations, policies, strategic initiatives, programs, services and systems
  • Knowledge of computer software and systems including MS Office and competency with spreadsheets, word processing, database applications, CRMs, email and web applications
  • Proven event planning and presentation skills
  • Promotes and embodies inclusiveness and respect within the workplace and the broader community
  • Strong active listening, verbal, written, and interpersonal skills
  • Ability to coach, mentor, and motivate students
  • Act as a liaison between multiple partners, sourcing and providing information in response to student needs and/or inquiries
  • Excellent creative problem solving, organizational and multi-tasking skills
  • Ability to interpret and apply University and program rules and regulations, the Faculty Handbook, course calendar and other governance documents
Responsibilities
  • Perform student academic advising for undergraduate students in the assigned programs by informing current, transfer, international and prospective students, as well as students minoring in the program, regarding all Faculty programs and services
  • Create and review student program plans, including course selection and program/Faculty/University requirements
  • Inform students about prerequisite requirements and course restrictions and introducing them to the advising services available to them
  • Respond to inquiries (all forms of service i.e. e-mail, telephone, in-person, live chat)
  • Manage advising appointments, both virtually and in-person, opening appointment times and tracking student requests and inquiries
  • Monitor the progress of students at risk academically, provide guidance on resources and make referrals to increase the likelihood of student success
  • Perform degree audits and program adjudication at required times, making decisions and/or seeking approvals
  • Maintain strong knowledge of academic calendar, academic regulations, Faculty Handbook and other policies, timelines and important dates as needed
  • Participate in classroom presentations and orientation sessions and/or workshops to support student success as related to advising
  • Attend student recruitment events including the Ontario Universities’ Fair, Fall Preview Day, Spring Open House and others as needed representing the assigned programs/Faculty and/or office
  • Monitor effectiveness of academic advising support provided and identify opportunities for improvement
  • Participate in and contribute to department/faculty-wide meetings, curriculum committees, other sub-committee meetings, or retreats as requested
  • Liaise as necessary with a variety of individuals including, Department Chairs, Administrative Assistants, the Office of the Registrar & Enrolment Services, Co-op, career & Experiential Education, Student Wellness and Accessibility Services, Human Rights & Equity, and other Academic Advisors
