Purpose
The Office of the Executive Vice President and Provost (EVPP) seeks a Human Resource Coordinator. This position will support many employee lifecycle activities. This position requires regular in-person attendance for drop-in meetings, collaboration, and other activities.
Responsibilities
- Function 1: Human Resources Process Support for the EVPP Office
- Coordinate key states of the recruitment and onboarding processes for employees, students, and affiliates. It includes job requisition creation, managing job postings, processing candidate dispositions and hiring actions, generating offer letters, initiating background checks, entering flexible work arrangements, and maintaining recruiting records.
- Complete pre-arrival onboarding tasks: launch required onboarding checklists, complete I-9 verifications, and track completion for compliance.
- Guide appropriate employee classifications and ensure job descriptions align with job profiles.
- Administer staff performance evaluation cycles: annual reviews and probationary evaluations. Communicate deadlines, provide reminders, and share best practices with supervisors.
- Serve as the first point of contact on leave management, illness/injury, and daily timesheet compliance reviews.
- Collaborate with supervisors and staff on initial intake of HR issues, including attendance and policy clarifications.
- Administer offboarding and separation process: communications, initiate offboarding tasks, conduct exit interviews, ensure timesheet completion, and process final payouts.
- Facilitate additional employee lifecycle activities to include sporadic employment, appointment extensions, reclassifications, merit data entry, and other compensation changes.
- Ensure compliance with university policies, procedures, and best practices at all touchpoints. Provide clarification and guidance as needed.
- Function 2: Administrative and Operational Support
- Maintain accurate and up-to-date employee records: ensure all documentation complies with legal and institutional requirements.
- Respond promptly to email inquiries and serve as the first point of contact for HR-related inquiries.
- Support implementing and communicating new or revised HR policies and procedures.
- Create Tuition Reduction Benefit (TRB) awards for eligible student positions.
- Serve as a backup to the financial team to update funding accounts.
- Run and analyze reports to ensure compliance across HR functions.
- Assist with open record requests and support special projects as assigned.
- Maintain consistent in-office presence for meetings, staff interactions, and HR workshops/trainings.
- Coordinate with other university offices as needed.
- Deliver high-quality, confidential services to internal and external stakeholders.
- All other duties as assigned.
- Function 3: Portfolio Support
- Review and approve Workday business processes related to the full employee lifecycle for students, contractors, and affiliates.
- Act as a subject matter expert on HR policies, procedures, and systems (including Workday), providing guidance and support to colleagues and campus partners.
- Serve as a backup to HR support roles.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Public Administration, or a related field.
- At least 2 years of experience in a human resources function.
- Experience working with confidential information.
- Familiarity with employment laws (e.g., FMLA, ADA, etc.) and compliance standards in an asset.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Excellent attention to detail and a high level of accuracy in data entry and record keeping.
- Excellent communication skills, both written and verbal, with a professional and friendly demeanor and ability to use discretion.
- Ability to follow detailed instructions and execute tasks with minimal supervision.
- Proficiency in Microsoft Office Suite and other standard office applications.
- Familiarity with timesheet management, payroll systems, and compliance checks.
- Ability to prioritize tasks, manage workloads, and effectively handle competing demands.
- Strong focus on providing excellent service to internal and external stakeholders.
- Ability to work well with other departments and employees.
- Comfortable in a dynamic environment and able to adjust to changing priorities.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
- Experience within higher education or a large organization environment.
- Experience using Workday in an HR capacity.
Salary Range
$54,000 + depending on qualifications
Working Conditions
- May work around standard office conditions.
- Repetitive use of a keyboard at a workstation with prolonged screen time.
- Use of manual dexterity.
