Requirements
  • A high school diploma or GED equivalent.
  • At least one year of secretarial, receptionist, or administrative experience.
  • Must be at least 21 years of age.
  • A valid Texas driver's license and proof of auto insurance, with the ability to meet agency insurance provider guidelines as an insured and approved driver.
  • Strong organizational and time management skills, with the ability to meet deadlines and manage multiple requests and job expectations.
  • Ability to sit and use a computer for long periods of time.
  • Ability to work in a child facility with constant exposure to children.
  • Ability to frequently drive children to appointments as necessary.
  • Ability to stand and walk for periodic events and lift, push, pull, or move up to 25 pounds.
  • Ability to apply safety intervention with youth who may weigh over 100 pounds, if required.
  • Ability to walk, stand, sit, kneel, speak, hear with aid, see, read, reach with the arms and hands, lift or move the specified weight, and use essential equipment such as a computer, copier, fax machine, telephone, and automobile.
Responsibilities
  • Provide office coverage and perform receptionist and secretarial duties for the Unaccompanied Refugee Minors program.
  • Answer and transfer telephone calls to different departments.
  • Monitor petty cash, distribute and reconcile credit cards, file documents, perform basic bookkeeping, and manage the office.
  • Scan, print, and file documents; audit files for due dates; and update database systems.
  • Assist with transporting children to appointments or other required services.
  • Complete I-9 Employment Eligibility Forms with new hires within three days of hire and send them to headquarters People & Culture.
  • Complete Affidavit Form 2985, notarize it, and send it to headquarters People & Culture within three days of hire.
  • File paperwork for client files, scan paperwork to client files, scan files for outside auditors, audit client files, and update due dates in the database.
  • Prepare and submit Coupa requisitions.
  • Prepare and submit monthly expense reports to the Corporate Finance Office.
  • Purchase office supplies and additional goods by catalog or from warehouse clubs.
  • Maintain petty cash disbursements and request replenishment of the petty cash fund.
  • Answer and make telephone calls, make reservations, and arrange travel.
  • Compile statistical reports as requested.
  • Pay invoices as needed.
  • Act as a Notary Public for the program if requested.
  • Perform other assigned duties and projects.
Desired Qualifications
  • An Associate's degree in business administration, office administration, or a closely related field.
  • Three years of secretarial, receptionist, or administrative experience.
  • Bilingual ability in Spanish and English based on the service population.
