Requirements
  • A high school diploma or equivalent and six years of administrative experience, an associate’s degree and four years of administrative experience, or a bachelor’s degree and two years of administrative experience are required.
  • Maintains a high level of confidentiality.
  • Demonstrated proficiency in Microsoft Office software, including Word, Outlook, Excel, and PowerPoint.
  • Ability to work independently and exercise good judgment with attention to detail.
  • Ability to sit for long periods of time.
  • Works in a standard office environment.
Responsibilities
  • Provides administrative and secretarial support to executive leadership and performs diversified administrative and secretarial functions.
  • Works independently to initiate and complete executive support functions for senior and executive leadership and acts independently as a representative to hospital leadership.
  • Responds to requests for information from senior and executive-level leaders.
  • Screens telephone and face-to-face requests for senior and executive leadership.
  • Coordinates and schedules standing meetings and responds to meeting requests for senior and executive leaders.
  • Assists executives in developing and gathering data for specific projects.
  • Collects agenda items, prepares agendas, composes minutes, collects information, and creates reports from established data and departmental sources.
  • Establishes and maintains office files and records, assembles information, and independently archives files as appropriate.
  • Prints meeting materials and prepares meeting folders for internal and external meetings.
  • Researches and compiles information as requested by executives.
  • Drafts personal and business correspondence, letters, and memos; proofreads correspondence before submission or distribution.
  • Compiles accurate statistical, financial, or unit activity data for the department.
  • Coordinates travel arrangements and prepares travel reimbursement for signature.
  • Participates in cross-training with other hospital support staff.
  • Prioritizes mail, messages, and inquiries for executive action or response.
  • Works with management to coordinate and identify educational and training opportunities.
