Responsibilities
  • Lead operations and administrative support for the Technology & Commercial Counseling team in Business Law.
  • Assist with intake of new matters by gathering and entering matter data, uploading documents, and generating forms from templates.
  • Gather and distribute documents and information for attorney and paralegal analysis.
  • Summarize relevant research and legal and business issues, including research and fact gathering.
  • Propose and contribute to project milestones for specific projects or activities by applying professional expertise and prioritizing appropriately.
  • Set project timeframes for self and team members based on project objectives and assignments, and track progress against project plans and milestones to drive deliverables.
  • Assist with collecting data and background materials for decks, presentation materials, and reporting, including preparing periodic reports for assigned functional areas.
  • Provide in-person and virtual meeting planning and support, including agenda creation, scheduling, meeting moderation, and follow-up on action items.
  • Provide administrative support for functional area leaders, including printing, correspondence management, calendar management, notetaking, expense reports, and travel arrangements.
  • Provide word-processing and materials support, including proofreading, formatting, PowerPoint support, and liaison with the communications team.
  • Monitor shared mailboxes for assigned functional areas, route communications, triage requests, and propose responses to standard requests.
  • Support matter-management and document-management practices, including intake, opening matters, document organization, and vendor billing and fee arrangements.
  • Serve as a point of contact for new team members by sharing high-level guidance about team and company operations and sites.
  • Collaborate with operations support personnel across functional areas to coordinate matrixed Business Law support, improve department processes, and allocate work fairly.
  • Support department-wide document and file management solutions.
  • Track department goals and progress, including compiling progress reports for department-wide goals meetings.
  • Provide recruiting, onboarding, and offboarding support.
  • Manage professional membership rosters and professional licenses.
  • Coordinate operational tasks and establish objectives with operations professionals to identify department-wide needs and improve efficiency across functional teams.
  • Support operational communications, including new-hire and promotion announcements, human-resources-related dates and deadlines, recognition communications, department town halls, and company updates.
