Customer Service
  • Prepare, review and maintain indexing and inventories in digital folder structures and spreadsheets
  • Collect and organize all required business registry filings from agents into company databases
  • Identify necessary filings, update registration data, and filing records into internal databases
  • Monitor and respond to internal and external email requests and make phone calls as necessary
  • Communicate in a clear and timely manner with team when problems arise or assistance is needed
  • Organize information by labelling storage locations, create new files and remove inactive files
  • Conduct corporate searches in all provinces we operate in, draft and review all mandatory documents and arrange for updated filing of same
  • Assist with collection of all annual filings and annual consent resolutions for internal purposes
  • Assisting with federal and provincial incorporation filings including; drafting pre and post-incorporation documentation, extra-provincial registrations, changes in directors and officers, name reservations, business name registrations, and changes in registered and records offices
  • Any other duties as required or assigned for any EXPI entity
  • Excellent knowledge of business registry and corporate filing experience a must
  • Experience in provincial and federal government Registry processes
  • Experience with government legislation, both the Business Corporations Act and Canada Business Corporation Act
  • Able to work well both in a team environment and independently
  • Strong written and verbal communication skills
  • Excellent organizational skills, accurate, proactive, driven and great with people
  • Must be comfortable interacting via telephone and online systems
  • Must be resourceful and thrive in a fast pavement environment
  • Experience providing excellent customer service including conflict resolution required
  • Advanced Google Suite / Microsoft Office experience required
  • Experience with provincial real estate Regulators (Council, Commission or Ministry) is a nice to have but not mandatory
  • Legal Administrative Assistant certificate (or similar) considered an asset but not mandatory
  • Vocational Education and Training (VET) qualifications in areas such as business administration, information management or clerical studies an asset but not mandatory
  • High School Diploma/GED required
