Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field.
  • Five to seven years of work experience in a related job discipline.
  • Previous administrative experience.
  • Familiarity with central administration within a complex research university environment.
  • Previous experience in the obstetrics and gynecology field.
  • Experience taking initiative and organizing and completing projects with minimal supervision.
  • Experience negotiating to accomplish goals and handling contacts with courtesy, maturity, discretion, and diplomacy, including sensitive and confidential situations.
  • Experience handling sensitive and confidential situations and information with absolute discretion.
  • Previous Electronic Medical Record experience.
  • Experience with EPIC and QGenda computer programs.
  • Experience handling a large volume of work often restricted by deadlines.
  • Organization, problem-solving, collaboration, independence, attention to detail, communication, and taking initiative to organize and complete projects with minimal supervision.
Responsibilities
  • Provide administrative support for more than 30 providers across a range of administrative duties.
  • Perform high-level administrative duties supporting office and clinical functions.
  • Manage special projects as assigned.
  • Manage databases vital to the Labor and Delivery Unit and General Obstetrics and Gynecology operations.
  • Manage an on-call schedule for physicians.
  • Oversee the provider service calendar in provider software by creating, monitoring, and editing schedules when necessary.
  • Resolve office problems independently and facilitate solutions, conferring with a supervisor on the most complex issues.
  • Monitor and reconcile accounts.
  • Manage accounts and receive, process, and track bills and expense reimbursements for section personnel.
  • Compose and edit correspondence and other documents.
  • Coordinate logistics for major events and schedule diverse and complex appointments, meetings, and travel arrangements.
  • Provide administrative support for a leader, stay informed of program and initiative activities, apprise the leader of issues when necessary, and coordinate information flow from the leader's office.
  • Initiate correspondence and written materials under the employee's own signature or for the leader's signature, triage email and telephone calls, and resolve routine and complex inquiries.
  • Prepare special reports and summaries, assist in managing daily office operations, and assist in developing administrative goals and policies.
  • Maintain the leader's calendar.
  • Coordinate special projects directed by the leader.
  • Prepare recommendations for operational and administrative problems.
  • Manage a portion of the leader's budget, monitor and reconcile accounts, and prepare financial and administrative reports.
  • Perform other related work as needed.
Desired Qualifications
