Amentum is seeking a Temporary Administrative Support Services Assistant to perform a key role in the onboarding process of new team members, to include minimal onboarding compliance documentation, I-9 completion, tracking requests for CAC’s, asset requests, email and shared drive requests, first day meet and greet, and client introductions.
Responsibilities:
1. First line of communication with your team members for any concerns in their daily duties or potential issues with the government task managers.
2. Provide proper guidance on protocol, expectations, and addressing concerns, escalating to upper management as appropriate. Be familiar with Amentum/Metis-Celestar policies and be able to direct employees to the relevant corporate material for guidance (Namely and Workday resources section!)
3. Track attendance and leave requests, as you will be approving timesheets. Ensure team members adhere to contract hours (0800-1630) and provide written customer approval for alternate work schedules to DCSA HQ Lead. Ensure 40 hours per week is maintained and never exceeded.
4. Maintain communication with DCSA government task managers, Amentum/Metis-Celestar Program Manager (PM) and Deputy PM regarding relevant questions or updates affecting personnel, the contract, innovations, issues, etc.
5. Contact new staff members weekly to determine any issues, needs, additional training required, etc, in coordination with the government task managers, PM, and DPM.
6. Monitor annual mandatory training completion within fiscal year. For new hires, training must be completed within 30 days on contract.
7. Collect Weekly Telework Reports and Monthly Status Reports, consolidate and review for accuracy, and email to DCSA PM and DPM in accordance with the established suspense date.
8. Assist with out-processing of staff, as appropriate, working with DD1150 asset returns or transfers, collecting building badges, CAC’s, parking pass, or other official items issued based on job responsibility.
9. Participate in bi-monthly DCSA Admin Team Lead Meetings (Currently every other Tuesday at 2:00pm, typically 45 minutes or less). After the meeting, disseminate relevant information to team members via email.
10. Participate in any counseling needs or delivery of Performance Improvement Plan (PIP), with training and support from DCSA government task manager, PM and DPM.
11. Host a monthly conference call with all team members as a group, or when appropriate, possibly an off-site appreciation lunch, with advance approval from Program Manager.
12. Periodically check in with government task managers to ensure contractor support is adequate. Whenever possible, use this feedback to nominate team members for SPOT awards.
13. Will be the first line of review for annual appraisals, with training and support from PM and DPM. Will discuss final appraisal with employee, covering accomplishments and areas of improvement.
14. Will be required to participate in additional leadership training held by Amentum/Metis or Celestar (as applicable), either remotely or in person as appropriate.
15. Maintain a current contact roster for all team members, to include personal phone and email.
16. Maintain a current contact roster for all government task managers. Should a customer change, provide notice to the PM and DPM.
17. Maintain an Outlook distribution list for group notifications.
18. Assist with processing tuition assistance or professional development reimbursement requests.
19. Assist with communicating personnel requests for advanced leave or LWOP requests.
20. Send team member travel requests to DCSA PM to route for approval through COR.
Requirements:
• Active secret clearance required
• High School Diploma or equivalent
• 2 years of administrative experience
• All personnel shall have superior oral and written communication skills, as well as a good command of the English language.
• Must be current DCSA employee on contract.
Preferred:
• Intermediate to high proficiency in Microsoft applications, particularly Word, Excel and Outlook
• Familiarity with the Defense Travel System and timekeeping management programs a plus
