Requirements

Responsibilities
  • Provide administrative support to one or more supervisors, including an Academic Chair, and assist with daily activities across academic programs or functional areas.
  • Coordinate and maintain key workflows and processes and interpret established procedures and policies.
  • Coordinate activities across multiple areas and serve as a resource for procedures and policies.
  • Monitor and reconcile financial and budget activity and prepare and analyze reports and records.
  • Provide direct service to college students, faculty, and the department.
  • Greet visitors, answer phones, respond to inquiries, and resolve routine and moderately complex student, employee, and other issues in accordance with college policies and department practices.
  • Assist with student intake and service coordination by collecting information, providing process guidance, and routing students to appropriate services or staff.
  • Perform moderately complex, multistep work involving interpretation of policies and procedures, analysis of information, workflow decisions, and resolution of non-routine issues.
  • Prepare and revise correspondence, reports, and other materials; analyze data to identify discrepancies, make corrections, and facilitate resolution.
  • Research, compile, and analyze data and information to prepare reports, summaries, and replies to inquiries.
  • Develop and maintain spreadsheets and data tools for reporting, workflow coordination, and special projects.
  • Maintain accurate departmental databases and records, including course schedules, syllabi, faculty office hours, and related academic documentation.
  • Coordinate course-schedule development by compiling, reviewing, and reconciling scheduling information, entering and verifying course and classroom details, and resolving discrepancies before final submission.
  • Prepare and submit faculty load sheets for approval, including course assignments, meeting times, room locations, and instructional components such as laboratory, clinical, and team-taught courses.
  • Develop spreadsheets and documentation to calculate and verify lecture, laboratory, clinical, team-taught, and overload components of faculty load sheets.
  • Review faculty absence requests and create absence-substitution forms; audit and verify staff timesheet entries and absence requests in Workday when needed.
  • Support hiring processes by initiating job requisitions, compiling candidate documentation, and providing new hires with policies, procedures, and pay schedules.
  • Organize and facilitate meetings and special events, including logistics, attendance tracking, material distribution, minute-taking, hospitality services, and cleanup.
  • Maintain and coordinate schedules, resolve scheduling conflicts, coordinate activities among stakeholders, arrange travel logistics, and submit travel requisitions when appropriate.
  • Prepare, process, reconcile, and maintain documentation for requisitions, purchase orders, invoices, spend authorizations, expense reports, receipts, and budget amendments.
  • Monitor, track, and reconcile expenditures; prepare and review budget reports, identify variances, and support budget planning and monitoring.
  • Support procurement activities by submitting purchasing transactions, maintaining documentation, and monitoring orders through completion.
  • Facilitate textbook adoption by compiling faculty information, drafting documentation, and submitting textbook selections.
  • Maintain operating-procedure records and share position-specific knowledge about enterprise resource planning and related system processes.
  • Communicate and collaborate with internal and external community constituents.
  • Assist with department web and social media updates by coordinating content and submitting publication requests to Marketing and Communications.
  • Provide direction and guidance to other workers and may serve as supervisor of record for full-time employees.
  • Participate in college events, committees, and other college activities.
  • Comply with college rules, procedures, guidelines, and laws, including document retention, the Family Educational Rights and Privacy Act, and confidentiality requirements.
  • Protect the privacy, security, and confidentiality of records and sensitive information.
  • Provide courteous, informed, accessible, and professional service.
  • Perform other duties as assigned.
