  • High School Diploma or GED
  • Minimum of 1 year work experience in a customer services field; candidates with prior experience working in a legal office services environment preferred
  • Ability to multitask with attention to detail
  • Ability to resolve issues with professionalism and tact
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.

Responsibilities
  • Includes metering, sorting, and distributing mail and accountable packages per schedule.
  • Efficiently receive, sort, and distribute all incoming mail, coordinating with courier companies for both small and large deliveries.
  • Manage internal mail distribution, including metering, sorting, and handling accountable packages, while maintaining clear communication with clients.
  • Accurately produce copy, print, and scan projects according to detailed instructions, including binding services and electronic binder creation.
  • Generate mailing labels for individual and mass mailings, ensuring precision in all copy projects submitted to the service center.
  • Answering incoming telephone calls and routing to the appropriate person, will greet and announce visitors in a friendly and professional manner.
  • Provide professional receptionist desk coverage, as needed, by greeting visitors, and coordinating with building security.
  • Prepare building access cards, manage loading dock access, and collaborate with the Philadelphia reception team regarding office visitors and food deliveries.
  • Coordination and upkeep of client conference rooms, common areas and kitchens. Inspect and ensure that all rooms are clean, stocked with supplies and ready for continual use. Organize and distribute client kitchen supplies. Maintain inventory control and order supplies as needed.
  • Set up and break down of office meetings and events, ensuring meticulous attention to detail.
  • Maintain conference rooms, common areas, visitor offices, restroom amenities, and kitchens, ensuring cleanliness and stocked supplies.
  • Control inventory and order necessary supplies from external vendors.
  • Upkeep of copy rooms and stocking of general supplies, delivery of paper, and basic daily maintenance.
  • Manage inventory control by stocking copy areas with paper and office supplies.
  • Conducts monthly AED checks and serve as a first responder in the event of an office emergency or evacuation.
  • Perform basic maintenance on office equipment, including toner replacement, and coordinates with vendors for service issues.
  • Address office shredding, recycling, and miscellaneous disposal needs.
  • Resolve office facilities requests, including property management ticket submissions, hanging pictures, completing small office moves, and minor maintenance tasks.
  • Prepares offices/workstations setup and breakdowns based on personnel changes.
  • Hand-deliver weekly bank deposits to a local Wilmington area bank.
  • Work independently based on verbal and written instructions to address client concerns and requests within the office.
  • Facilities Services may include hanging pictures, small office moves, cleaning services and communication with key client contacts regarding building/equipment concerns.
