Requirements
  • A high school diploma is required.
  • Administrative support experience in a healthcare or similar setting is required.
  • The ability to complete background investigations and maintain compliant employee personnel files is required.
Responsibilities
  • Ensure all administrative support functions for the region are completed according to established timelines and meet Health Connect America quality standards of performance.
  • Provide customer service to clients, visitors, applicants, and employees by communicating information, responding to inquiries, explaining information, fielding complaints, greeting visitors, answering regional phone lines, and distributing incoming correspondence.
  • Conduct background checks for new hires and annual registry background checks for current employees, upload results to electronic personnel files in Paylocity, and ensure current driver’s licenses and insurance verification are maintained.
  • Coordinate and onboard new hires, ensure required documents are uploaded and correctly titled, and maintain compliant electronic employee personnel files in Paylocity.
  • Manage office-level billing processes, including verifying insurance and managing and correcting failed activities and claims according to state billing directives.
  • Provide administrative support to Direct Service Providers by preparing intake packets, supplying required forms for completion or client signatures, and completing client demographic information on forms.
  • Prepare invoices, reports, memos, letters, and other documents using word processing, spreadsheet, database, and presentation software, and assist Program Directors with payroll processing.
  • Order office supplies, maintain records management systems, and keep the office presentable and organized.
  • Assist in training new hires on documentation and required paperwork processes.
  • Assist with coordinating and preparing meetings and events, including preparing and distributing agendas and information packets.
  • Monitor clients’ electronic health records in Carelogic, enter demographic data, produce reports, correct failed activities and claims, and verify rates.
  • Assist with client chart audits, audit discharged clients’ charts, and prepare reports of findings.
  • Assist with the monthly medication administration record process.
  • Conduct client, agency, and Aftercare surveys and ongoing client quality assurance checks as assigned.
  • Train and supervise other administrative clerical staff.
Desired Qualifications
  • An Associate’s degree in business or administrative support is preferred.
  • A minimum of 3 years of relevant experience in an administrative support position within healthcare or similar settings is preferred.
