  • A high school diploma or equivalent is required.
  • At least 1 year of experience in a medical office or healthcare setting is required.
  • Proficiency in scheduling systems and insurance verification is required.
  • Familiarity with electronic medical record systems, appointment scheduling software, and basic office equipment is required.
  • Competence in using Microsoft Office Suite, including Word, Excel, and Outlook, is required.
  • Knowledge of HIPAA and patient confidentiality standards is required.
  • Ability to address and resolve patient concerns, manage unexpected situations, and coordinate effectively with other departments is required.
  • Strong communication and organizational skills are required.
Responsibilities
  • Greet patients and visitors, manage check-in and check-out, and ensure accurate registration.
  • Schedule, confirm, and manage patient appointments using the clinic’s system, optimizing provider schedules.
  • Coordinate specialty referrals, obtain prior authorizations, and ensure documentation is sent.
  • Verify insurance, explain billing procedures, collect co-pays, and resolve inquiries.
  • Answer and manage phone calls, emails, and other communications, resolving or routing inquiries.
  • Maintain and update patient records in compliance with HIPAA.
  • Address patient needs and manage patient flow to support customer service and satisfaction.
  • Perform clerical tasks such as faxing, scanning, and data entry, and support medical staff as needed.
Desired Qualifications
  • Medical office training or certification is preferred.
  • Experience serving diverse populations and an empathetic, mission-driven approach are desirable.
