Requirements
  • A high school diploma or equivalent is required.
  • A minimum of one year of relevant experience is required; an appropriate combination of education or training and proven experience may be considered.

  • Computer literacy and the ability to use multiple systems are required, including UChart Cadence, Prelude, Enterprise Billing, Availity, Radiant, PACS, Merge, Intellidose, Experian, and online verification systems used by contracted payors.
Responsibilities
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple department telephones, triage incoming calls, respond to questions, direct calls, and document messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate employee.
  • Coordinate the day-to-day providers’ clinical activities within the assigned clinical area or service line.
  • Ensure clinic examination rooms are clean, orderly, and stocked with necessary supplies.
  • Reboot examination-room computers before the start of clinic and ensure applicable software is functioning properly.
  • Print appointment arrivals, verify provider-ordered testing, and ensure testing is financially cleared.
  • Initiate financial clearance by contacting the onsite insurance verifier, international department, or workers’ compensation department.
  • Link arrived appointments to the designated area and update the event log through the electronic medical record portal.
  • Log patient arrival times on the Daily Physician Schedule and ensure all patients are accounted for.
  • Start UChart and Merge software images for providers before rooming patients.
  • Room patients and ensure timely examination-room turnover.
  • Upload external medical records into the electronic medical record through UImaging or Radiant/PACS.
  • Provide necessary clinical information and ensure workers’ compensation forms are completed by the provider before the end of clinic.
  • Orient patients regarding next steps and provide wayfinding information.
  • Monitor and facilitate the flow of patients undergoing diagnostic procedures, treatments, or consultations in other hospital areas or departments.
  • Round on patients and communicate expected wait times or reasons for delays.
  • Distribute snacks to patients when applicable.
  • Provide service recovery when a service breakdown is identified and escalate accordingly.
  • Use CI Cares standards to communicate effectively with internal and external customers.
  • Link available orders to scheduled ancillary-testing appointments and arrive appointments accordingly.
  • Schedule add-on ancillary testing appointments according to provider orders entered in clinic.
  • Update the event log through the UChart electronic medical record portal to ensure patients display in the correct service area.
  • Complete patient access functions rapidly without compromising quality or service levels to minimize patient wait times before treatment begins.
  • Print Advanced Beneficiary Notices when applicable, educate patients, obtain signatures, and scan the forms into the electronic medical record.
  • Check discharge and checkout orders and coordinate prompt scheduling of follow-up appointments, procedures, diagnostic services, or ancillary services.
  • Determine pending financial responsibility at checkout or discharge and collect and post payments when applicable.
  • Schedule external appointments as indicated by the provider.
  • Provide an After Visit Summary when applicable.
  • Complete checkout functions and update appointment status to reflect discharge or checkout completion.
  • Answer the clinical area’s telephone professionally and courteously according to telephone-etiquette standards.
  • Print refractive prescriptions from the electronic medical record or return-to-work or school certifications upon provider request.
  • Ensure equipment is functioning and cabinets and drawers are locked when unattended.
  • Report malfunctioning examination-room equipment and place red tickets or out-of-order tags on devices.
  • Order office and medical supplies according to department policy and budget.
  • Ensure medications are locked, secured, current, and expired medications are discarded in the Universal Pharmaceutical Waste bin.
  • Transport instruments used during clinic to the Sterilization Department by the end of the assigned shift.
  • Work cooperatively with employees to solve problems and improve the smooth and efficient flow of the practice.
  • Provide coverage for coworkers’ responsibilities when assigned or as needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality of all information.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Perform other duties as assigned based on departmental needs.
Desired Qualifications
  • Multilingual ability, including English and Spanish, English and Haitian Creole, English and French, or English and Arabic, is a plus.
